ESSENTIAL DUTIES AND RESPONSIBILITIES
Coordination of all group business as contracted by the sales manager/DOS. Contact and provide appropriate follow-up on all signed/contracted business. Determine and coordinate all needs of the customer.
Answer Sales office phone and respond to all sales inquiries accurately and timely
Manage the group guest room blocks in Delphi
Verify all reservations and group room blocks. Input promptly correctly code and update all hotel information into the reservation system.
Responsible for creating Group Resumes & BEOs and attending weekly meetings
Responsible for effectively communicating with the various departments to ensure that the meeting and related functions are executed to exceed the clients expectations
Account Service and Management: Maintains well documented accurate organized and up-to-date file management to serve client and employer in the most expedient organized and knowledgeable manner
Develop strong customer relationships through appropriate client communication and the use of professional courteous and ethical interpersonal interaction.
Have and maintain accurate knowledge of hotel rates strategies discounts and promotions.
Promptly follow up on all customers needs and inquiries in an efficient and expedient manner.
Review and finalize group billing upon departure/completion of event
Exhibits a positive and involved team attitude to all hotel departments and maintains open communication with all co-workers for the best overall performance of the hotel
Display a neat clean and business-like appearance
Assist with the coordination of site visits for guest rooms and spaces to tour
Other duties as assigned requested or deemed necessary by management

QUALIFICATION REQUIREMENTS
  • Possess excellent communication and writing skills
  • Possess excellent organizational skills and detail-oriented
  • Ability to maintain confidentiality of sensitive information
  • Understand and comply with all Company and departmental rules regulations policies and procedures
  • Ability to read write and communicate verbally in English
  • Computer proficiency and knowledge of Microsoft Office Suite and ability to learn new software
  • Ability to communicate effectively with guests and team members at all levels
