Job Summary
I. Summary
The Keys to Change Fundraising Database Specialist is responsible for the daytoday management accuracy and integrity of the organizations donor a nonprofit setting this role serves as the primary owner of fundraising dataensuring that all gifts are processed correctly donor records are complete and up to date and staff have reliable information to support fundraising stewardship and reporting.
This position works closely with the Development Manager and development team to support donor communications events and campaigns. The ideal candidate is highly organized detailoriented calm under pressure and comfortable balancing routine processing with analytical and collaborative work as assigned.
General assistance for in-kind donation resource development and events are included in this role including assisting with Project Connect and other events donor stewardship requesting in-kind donations from community businesses and day-to-day Development operations.
II. Essential Functions
1. Manage CRM donor database including tracking cash (and equivalent) donations ensure proper receipting and mail acknowledgements.
2. Manage data migrations and infrastructure including inputting donor-related data maintaining data health through reconciliation.
3. Digitize and organize donor documentation to ensure records are complete and easily accessible.
4. Process and track donations from multiple sources including online platforms mail events workplace giving and matching gifts ensuring timely and accurate acknowledgment.
5. Communicate with donors to facilitate taking gifts over the phone in person and at special events.
6. Monitor workplace giving to ensure donors receive proper credit for gifts and verify donations so that matching gifts can be obtained.
7. Send acknowledgment cards for all in memory or in honor of donations.
8. Facilitate donor communications as directed by Development Manager.
9. Generate donor reports including but not limited to donor trends with development team and reconciliation reports with finance department.
10. Assist with setup breakdown and execution of volunteer and fundraising events - including Annual I Am Home Breakfast Project Connect and other corporate volunteer events.
11. Oversee volunteers at volunteer and fundraising events at the direction of event lead.
12. Seek and develop new in-kind donor relationships at the direction of the Development Manager. Build and maintain relationships with in-kind donors.
13. Responsible for attending weekly team meetings and other trainings as assigned.
14. Other duties as assigned.
III. Required Qualifications
Bachelors degree from an accredited college or university or equivalent combination of education and relevant professional experience.
1-3 years of experience in nonprofit development operations fundraising administration or donor database management.
Demonstrated experience managing a fundraising or CRM database including gift processing data integrity and reporting.
Experience with Virtuous CRM (Certification required within 90 days of hire).
High proficiency with Microsoft Office (Excel Word Outlook); comfort working with spreadsheets reports and data exports.
Exceptional attention to detail strong organizational skills and ability to manage multiple priorities and deadlines.
Proven ability to work independently while collaborating closely with a small mission driven team.
IV. Required Functional Abilities
1. Superior written and verbal communication skills (Spanish a plus).
2. Demonstrated ability to communicate effectively and professionally with staff clients and external contacts.
3. Visual acuity sufficient to maintain system of records and reports containing computer-generated and handwritten documents.
4. Ability to handle sensitive material maintaining the highest level of confidentiality and displaying sound judgment.
5. Mobility sufficient to conduct regular duties within a normal office environment.
6. Ability to lift at least 25 pounds in order to safely manage donations office supplies and equipment.
7. Ability to use stairs and work outside in extreme weather.
