This position operates in a friendly team-oriented office environment where collaboration and accountability are valued. Comprehensive training documentation and established procedures are provided to support success in the role. The position offers flexibility while maintaining a strong focus on supporting daily operations and ensuring a positive experience for both customers and employees. The office is pet-friendly and the ideal candidate should be comfortable working around animals as dogs and cats are regularly present in the workplace.
Front Desk & Customer Service:
* Answer and direct incoming phone calls with professionalism and courtesy.
* Serve as the primary point of contact for customers vendors and visitors.
* Greet delivery personnel sales representatives and office guests.
* Maintain a welcoming and professional office environment.
Employee Coordination & Tracking:
* Maintain accurate records of employee hours and labor allocation.
* Communicate with field staff to gather and verify information needed to track employee locations job assignments and daily movement between job sites.
* Follow up on missing or incomplete information to ensure accurate reporting.
* Monitor and maintain job clocks daily assign new job clocks when necessary
Administrative Support:
* Draft proofread and send professional emails and correspondence.
* Review invoices and documentation for accuracy before submission.
* Maintain organized electronic and physical records.
* Support office operations through data entry filing and administrative coordination.
* Follow documented procedures and standard operating processes.
* Sort incoming mail and maintain office correspondence.
* Scan copy upload and organize project documentation
Accounting & Payroll Support:
* Enter invoices and maintain job costing records within the accounting system.
* Assist with labor cost tracking and reporting.
* Organize employee hours job locations and payroll-related information.
* Prepare payroll data for processing and ensure information is complete and accurate.
* Perform basic mathematical calculations and quality-control checks on financial information.
* Utilize Excel for job cost reporting data entry
Office Support & Logistics:
* Pick up checks and documents from local customers and vendors as needed.
* Handle errands as needed.
* Assist with supply management and other administrative needs.
* Support special projects and operational initiatives as assigned.
* Assist project managers with scheduling certifications when necessary
* Assist with renewing badges for base access
* Apply for county permits and follow up to schedule inspections
* Login to portal to assist project managers with lightening protection inspections (a few times a year)
* Assist with new employee administrative onboarding including maintaining employee records scheduling required appointments and updating internal systems.
Additional Qualifications/Responsibilities
Required:
- Proven experience as an Executive Assistant Administrative Assistant or in a customer service role.
- Exceptional organizational and time-management skills with the ability to prioritize and handle multiple tasks simultaneously. Strong verbal and written communication skills with attention to detail.
- High level of integrity and discretion in handling confidential information.
- Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook) and/or Google Workspace and other office management tools.
- Ability to work independently and as part of a team demonstrating a proactive approach to problem-solving. A positive attitude adaptability and a commitment to supporting executive leadership.
- High level of attention to detail especially with Excel reporting Comfortable asking for help when needed
- Valid drivers license with reliable transportation
Preferred:
- Experience in a construction service trade or field-service environment. Experience with payroll support invoicing or bookkeeping.
- Familiarity with Sage 50 or similar accounting software.
- Various vendor portals
40 hours 8 hours/day Monday-Friday
$20/hour
