As an Administrative Assistant supporting our food service operations youll help ensure seniors and community members receive nutritious meals and quality services every day. Your organization communication and attention to detail will directly support programs that make a meaningful difference in peoples lives.
What Youll Do:
As an Administrative Assistant you will:
- Serve as the first point of contact by answering phones responding to emails and assisting customers staff vendors and community partners.
- Prepare proofread and distribute correspondence reports meeting materials and other business documents.
- Maintain accurate records databases reports and filing systems.
- Coordinate calendars meetings appointments and administrative activities.
- Support scheduling meal service coordination deliveries and daily operational activities.
- Communicate schedule changes service updates and other important operational information.
- Monitor office and operational supply inventories and coordinate ordering as needed.
- Assist with reporting audits special projects and other administrative functions.
- Maintain confidentiality and handle sensitive information with professionalism and discretion.
- Collaborate with management staff vendors volunteers and customers to support efficient operations and outstanding service.
What Youll Need to Be Successful:
- High school diploma or equivalent.
- Minimum of two (2) years of administrative experience in an office customer service food service healthcare hospitality nonprofit or similar environment.
- Proficiency with Microsoft Office Suite including Word Excel Outlook and PowerPoint.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Valid drivers license.
Bonus If You Have These Skills:
- Associates degree in Business Administration Public Health Nutrition Social Services Hospitality Management or a related field.
- Experience working with seniors individuals with disabilities or community-based service programs.
- Knowledge of food service operations food safety regulations and program compliance requirements.

Physical & Environmental Demands:
- Work Environment: This position is primarily performed in a professional office setting with occasional interaction in food service kitchen dining or meal distribution areas. The work environment is generally climate-controlled and may involve frequent interaction with employees customers vendors and visitors.
- Physical Activity: Requires prolonged periods of sitting while performing administrative duties including typing data entry and document review. Frequent standing walking bending reaching and moving between office and operational areas may be required.
- Lifting and Carrying: Occasional lifting carrying or moving of office supplies files meal service materials or boxes weighing up to 25 pounds may be required.
- Manual Dexterity and Visual Acuity: Requires frequent use of hands and fingers for typing data entry filing and operating standard office equipment. Must be able to read and interpret printed and electronic documents reports schedules and correspondence.
- Office Equipment Use: Regular use of computers telephones printers copiers scanners and other office equipment is required.
- Noise Level: Work is generally performed in a low to moderate noise environment; however occasional exposure to higher noise levels may occur in food service kitchen or dining areas.
