The Fleet Administrator supports the day-to-day administration of CMES Inc.s fleet equipment small tools fuel cards and telematics systems. This position is responsible for maintaining accurate fleet records coordinating vehicle and tool assignments monitoring GPS and fuel activity supporting drivers with fleet applications and ensuring required vehicle documentation remains current. The ideal candidate is organized detail-oriented comfortable working with technology and able to coordinate effectively with Fleet Shop Operations and field personnel.

Essential Duties and Responsibilities
Vehicle Allocation & Driver Support
Coordinate with Fleet leadership on the assignment and allocation of company trucks and vehicles.
Maintain accurate vehicle check-in and check-out documentation.
Assist drivers with installation and basic use of the eFleet and BlackVue applications.
Add and maintain driver assignments in E360 and telematics systems in coordination with the Fleet team.
Update pickup truck handovers daily to support accurate fleet reporting.
Vehicle Tags Renewals & Emissions
Maintain an accurate and current vehicle tag renewal tracking log.
Coordinate and complete vehicle tag renewals by required deadlines.
Maintain emissions records and supporting vehicle compliance documentation.
Small Tools Supplies & Inventory
Maintain inventory of grease DEF hydraulic oil engine oil small tools and miscellaneous shop supplies in coordination with Shop staff.
Issue and document tools and supplies provided to jobsites and employees.
Coordinate the assignment of small tools and miscellaneous equipment with the Fleet team.
Order small tools and replenish inventory as needed.
Prepare required tools and equipment for newly hired Foremen Superintendents and Project Managers and maintain sign-out records.
Add and maintain new equipment and small tools in E360 Dispatcher and telematics systems.
Fuel Cards
Maintain fuel card check-in/check-out records and assigned card information.
Provide fuel card PIN information to authorized new drivers.
Order fuel cards for new vehicles and replacement cards when cards are lost or damaged.
Review QT fuel reports and identify or escalate discrepancies for follow-up.
HCSS Telematics & Fleet Systems
Create and maintain geofences for active jobsites.
Ensure GPS tracking is available and functioning on company equipment and trucks.
Review daily GPS ping diagnostic reports and follow up on devices that are not reporting properly.
Monitor telematics alerts daily and communicate issues requiring attention.
Maintain accurate equipment small tool driver and vehicle information within E360 Dispatcher and telematics platforms.
Maintain documentation for fleet vehicle and equipment purchases and sales in E360 and the Fleet department files.

Qualifications
High school diploma or GED required; associate degree or related administrative training preferred.
1-3 years of administrative fleet equipment construction logistics or operations support experience preferred.
Strong computer skills and ability to learn fleet management and telematics systems.
Experience with HCSS E360 Dispatcher GPS/telematics platforms or fuel card systems is a plus.
Proficiency with Microsoft Excel Outlook and general recordkeeping.
Strong organizational skills with excellent attention to detail and follow-through.
Ability to manage multiple priorities and communicate effectively with office shop and field employees.
Valid drivers license and acceptable driving record may be required.

Physical / Work Environment
This position works in an office and fleet/shop environment and may require periodic movement between office yard shop and vehicle areas. The employee may occasionally be required to lift or move small tools supplies or equipment and must be able to safely perform the essential functions of the position with or without reasonable accommodation.
