Job Summary

Financial Aid Operations Specialist

The FinancialAidOperationsSpecialistisresponsibleformanagingmaintaining training on and updatingBannerFinancial Aid systems including all patches and testing and for developingandautomating operational policies and proceduresin accordancewithUSDepartment ofEducation requirements. Additionally thisposition plays a critical role in all Enrollment and Financial Aidauditsserving as a partner in retrieving files reviewing records andensuring accuracy prior tosubmission. Working closely with AdmissionsRegistrar Bursar and Clinical EducationOperations theFinancialAidOperationsSpecialist ensures financial aid processes systemsand reporting is integrated to support a positive student experience.

Essential Functions

  • Reviews andProcessesLeave of Absence (LOA) and Withdrawal requests inalignment with federal and institutional requirements.
  • Review and support c-flag compliance.
  • Reviewsbannerletter reporting and compliance reporting to ensure compliance standards are met and followed.
  • Reviews high-level compliance reporting and provides updates tothe Operationsteam.
  • Updates policy manual and workflow procedures tomaintaincompliance with federal aid requirements.
  • Identifypotential areas of compliance vulnerability and riskdevelops/implementscorrective actionsplansto manage and mitigate risk and improve compliance practices.
  • Identifytraining requirements and changes and implement necessary updates to training materials and communications for studentsand staff.
  • Developmodify and provide oversight of the office policies and procedures thatare followingcurrentUSfederal guidelines/regulations.
  • Support new institutional initiatives while maximizing operational efficiency maintaining compliance withUSfederal and stateregulationsand prioritizing service excellence.
  • Work cooperatively with other departmental partners.
  • Solve complex issues and work both collaboratively and independently in a fast-paced high stress environment.
  • Support all activities relating to both internal and external audits.
  • Participates in reporting duties;assistsin gathering compiling auditingmaintaining and analyzing data for the maintenance and preparation of records and reports;identifiesrequired data elements to create database queries; creates selection sets.

Other Duties

  • Provide coverage for financial aid operations as needed to ensure uninterrupted service to students staff accrediting bodies.
  • Perform other duties and special projects assigned by leadership.

Essential Knowledge Skills & Abilities

  • Well-developed analytical cognitive and computer skills.
  • Highly skilled inexcel;macros complex formula development.(advance levelrequired)
  • Advanced written and oral communication skills and the demonstrated competence to effectively present information in either format.
  • Strong analytical technical and problem-solving skills with a focus on complianceand automation.
  • Proven technical skills withspecificfocus on Banner financial systems to ensure data integrity compliance and adequate internal controls.
  • Strong interpersonal skills and the ability to work with employees at all levels of the University.

Qualifications

  • Bachelors degreerequiredMasterspreferred
  • Minimum of five years of progressive experience in Financial Aid or process improvement.
  • Advanced Microsoft Excel skillsrequired.
  • Advanced knowledge ofUSTitle IV financial aid regulations and programspreferred.

Work Environment & Physical Demands

  • Professional office setting; frequent use of computers and office equipment
  • Ability to concentrate in a high-volume fast-paced environment

Hours & Travel

  • Standard work week
  • Flexibility for evening and weekends during peak periods
  • Occasional travel may be required

The anticipated salary range for the Financial Aid Operations Specialist is $68000- $80000 per year. The final salary offered may vary and will be determined based on factors such as job-related knowledge skills experience location and education of the successful candidate.
