The Financial Advisor Assistant plays an essential role in shaping the client experience and setting the tone for our this position you will ensure every interaction is welcoming professional and handled with care through a wide range of administrative and client support tasks including answering and routing phone calls greeting clients and assisting with scheduling and calendar coordination. You will also maintain accurate client data within the CRM and complete and process client paperwork ensuring all documentation is handled with accuracy and strong follow-through. This is a highly accountable figure it out environment where success comes from taking initiative gathering the right information and owning tasks end-to-end.

Key Responsibilities:
Serve as the first point of contact greeting clients in person by phone and email in a warm and friendly manner
Initiate and track client paperwork and account transactions efficiently (e.g. new and existing account processing transfers contributions payment processing etc.)
Complete various industry-specific administrative tasks within established filing and paperwork timelines
Maintain accurate and up-to-date CRM and client data
Ensure all client inquiries and concerns are addressed promptly and resolved in line with expected service levels
Provide pre- and post-meeting support for financial advisors
Conduct thorough research and deliver high-quality problem solving and issue resolution
Ensure business flow and communication expectations are consistently met
Manage financial advisor calendars including scheduling appointments and meetings as needed
Assist in monitoring financial advisor emails calls and communications as needed
Build and maintain strong working relationships with financial advisors internal team members and vendors to support high-quality client service
Assist with other duties projects and operational follow-up items as assigned
Qualifications:
High School Diploma or GED required; Bachelors degree in business administration finance or a related field preferred
1 years of experience in an office environment performing similar work required
Strong technology skills and proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint) and CRM required
High level of professionalism and confidentiality with a strong attention to detail
Excellent interpersonal written and verbal communication skills
Highly organized and adaptable with the ability to multitask and shift between responsibilities throughout the day
Excellent interpersonal written and verbal communication skills
Excellent organizational and time management skills and strong documentation habits
Strong customer service mindset with a client-first approach
