About the Job

Fresh Tech is a rapidly growing innovative AVL integration company that exists to accelerate every churchs unique mission. Were looking for a detail-oriented Finance & Administration Coordinator (roughly 15-25 hours/week) who wants to be a real part of the team not an offsite contractor.

Youll own our day-to-day bookkeeping and financial administration: entering and coding bills reconciling accounts keeping vendor accounts clean filing sales tax sending contracts and keeping our records organized. This is an embedded role. Youll sit close to the business learn how we actually operate and handle routine work confidently instead of guessing.

A note on our standards: we keep our books unusually current and we care about getting them right. This is not a "close enough for a small business" bookkeeping job. Youll work directly with our CFO who will train you thoroughly on our systems. We already have solid documented processes in place; we need someone reliable and precise to run them well.

We are not a hand-holding or micromanaging operation. If you see a better way to do something we want to hear it. We implement good ideas quickly which means we need someone flexible who learns fast and who is comfortable with things moving at pace. We also lean heavily on AI tools so being AI-curious is a must and AI-fluent is a real plus.

What Youll Do

  • Monitor our accounting inbox daily and make sure time-sensitive bills get entered and paid on time
  • Enter bills and code transactions accurately with correct dating
  • Keep an eye on our balances so the books always match the bank
  • Handle vendor credits returns and the occasional duplicate charge correctly
  • Set up new projects in our contract system and send contracts out for signature
  • Keep our financial records contractor records and documentation clean and organized
  • Own our month-end close: reconcile every bank and credit card account run the accuracy checks and drive the close checklist to completion including the steps that need a sign-off from the CFO
  • Prepare and file sales tax returns (well train you)
  • Reconcile vendor accounts and get on the phone with vendors when something doesnt add up

Requirements

What Were Looking For

  • Meticulous attention to detail and a track record of accurate self-checked work. Bookkeeping or accounting experience is a plus but we care more about precision and reliability than years on a resume
  • Reliable and consistent you take ownership of getting it right
  • Resourceful and self-directed: you open your own support tickets and see issues through to resolution
  • Not afraid of the phone: when something is time sensitive you pick up the phone and get an answer whether thats a vendor a bank or a software support line
  • Comfortable with basic spreadsheet formulas
  • AI-curious at minimum: you already use AI in your work or daily life and youre excited to use it a lot more here
  • Clear communicator who flags issues early and brings solutions
  • Discretion with confidential information

Nice to Have

  • Experience with Zoho Books or any accounting software
  • Experience with a business that tracks inventory
  • Experience with tools like Ramp or
  • Payroll or sales tax experience
