Koniag Professional Services LLC a Koniag Government Services companyisseekinganExecutive Operations Specialist with a Secret security clearance to support KPS and our government customer in Washington offer competitive compensation and an extraordinary benefits package including health dental and vision insurance 401K with company matching flexible spending accounts paid holidays three weeks paid time off and areseeking an accomplishedExecutive Operations Specialistto provide the highest caliber of executive administrative and operational support to the Chief Operating Officer (COO) and Division Deputy of Operations:Monday Friday 8:00 AM 5:30 PM (EST)Surge support outside standard hours may berequired with advance CO approvalKey Responsibilities:Executive Scheduling & Calendar Management:Serve as the authoritative owner of theCOO and Division Deputy Directorsexecutive calendarsProactively analyze prioritize and de-conflict all scheduling requests against organizational priorities travel schedules and classified meeting commitmentsDevelop and deliverlook-ahead briefing booksfor each assigned executive on a daily basisCoordinate all aspects ofVTC setupacross classified and unclassified platformsBrief supervisors on the context purpose background and sensitivity of all requested meetings prior to engagementSenior-Level Correspondence & Administrative Support:Draft format review andfinalizecomplex senior-level correspondence memoranda reports and executive communicationsReview all outgoing correspondence for proper format procedural conformance grammatical accuracy and classification markings prior to leadership signature Develop and maintainSOPsfor all executive administrative and advisory support functionsFacilitatetime and attendance submissionsfor assigned executivesCoordinate DOE office space relocations and telephone line installationsMeeting & Event Coordination:Record organize and distributemeeting minuteswithin 24 hours of conclusionCoordinatesecured meetings and classified eventswith the HSOIssuethank-you communicationsto presenters and attendees within 3 business daysCoordinate with the Corporate Business Office on pending leadership actionsTravel Coordination:Plan and execute alldomestic and international official travelin full compliance with FTRandJTRSubmit alltravel vouchers within five (5) business daysof travel conclusionManage all travel logisticsusingConcur Government EditionInformation Asset & Records Management:Maintain verified inventory of allGFEassigned to leadershipManageSharePointcontent for executive SOPs and administrative workflowsDevelop and maintainindexed decision logsfor all administrative actionsEnsure all documentation involvingCUI OUO PII or Confidentialmaterials is handled per DOE security directivesEducation(Mandatory):Bachelors Degree(minimum) inBusiness Administration Public Administration Organizational Management or Business Managementfrom a regionally accredited college or universityAdvanced degrees in qualifying fields are strongly preferred and will be weighted in rankingSecurity Clearance(Mandatory):Must hold acurrent fullyadjudicated Secret security clearanceat time of applicationExpired lapsed pending or previously held clearances that are no longer activedo not satisfy this requirementCandidates without an active Secret clearance will be immediatelydisqualifiedExperience:RequirementMinimumStandardExecutive Operations SupportMinimum5 yearsdirect support toSES-level officials Three/Four-Star General Officers or equivalentClassified Environment OperationsMust haveoperatedin aclassified or sensitive environmentwith documented responsibility for classified or CUI correspondenceFederal Travel System ProficiencyHands-on experience astravel preparerusingDTS E2 Solutions or Concur Government Edition commercial systems do not qualifyCongressional/Controlled CorrespondenceMust have directly managedIG GAO Congressional/Hill FOIA or equivalent controlled correspondencefor a senior federal executiveSecure Meeting CoordinationMustdemonstrateprior coordination ofSCIF-based or classified meeting environmentswith a Security OfficerTechnical Skills(Mandatory)Advancedproficiency inMicrosoft Office Suitein a federal document production contextProficiency in afederal task management system(CATMS ETMS2 JIRA or equivalent)Working knowledge ofConcur Government EditionProficiency inSharePointfor federal document control and SOP managementAbility to draft correspondence conforming toDOE or DOD correspondence style guidesOur Equal Employment Opportunity PolicyThe company is an equal opportunity employer.
