Description of Work

The major purpose of this position is to provide administrative support for the efficient running of the Superintendents office. This position will demonstrate a strong commitment to the Schools mission vision of excellence in education and welcoming students their families faculty and position will also serve as the Clerk to Eastern NC School for the Deaf Board of Trustees

Knowledge Skills and Abilities/Management Preferences

This position provides secretarial and administrative assistance to the Responsibilities include but are not limited to:

  • Act as the Assistant to the School Superintendent through well prioritized planning and efficient administrative support.
  • Must have excellent communication skills and be detail oriented
  • Promote the reputation of the School in all matters especially pertaining to the Superintendents role and office.
  • Deal effectively and wisely with the members of all internal and external stakeholders
  • Adhere to strict confidentiality as this position will be exposed to information that may not be shared with others util advised
  • Demonstrate strong commitment to the Schools vision and mission
  • Be proactive in assisting with long- and short-term planning managing the Superintendents calendar providing alerts in relation to the School calendar event(s) as well as other responsibilities and appointments
  • Prepare coordinate and distribute documents for meetings
  • Prepare meeting minutes monitor and follow up actions as appropriate in a timely manner.
  • Receive read and evaluate incoming emails post and phone calls
  • Responding to matters of both a routine and complex nature
  • Disperse information to the appropriate people and monitoring follow up as necessary
  • Prepare correspondence reports memoranda notices policies and procedures on all matters relating to the School staff and students.
  • Ensure that documentation regarding matters governed by the State Board of Education NC DPI laws of privacy and confidential matters such as child protection
  • Organize and coordinate travel arrangements as required by proper processes and facilitate attendance at external meetings and events.
  • Receive visitors in a professional manner on behalf of the School Director
  • Maintain a helpful professional demeanor at all times and receive queries and complaints in a calm positive and reassuring manner.
  • Always promote and speak well of the School and Staff and address any concerns about the School and/or Staff by speaking with the Director
  • Assist with any other tasks as assigned by the School Director
  • This position will also serve as the Clerk to the Board of Trustees. Duties include attending Board Meetings preparing Board Agenda requesting action items from staff in preparation for the Board meeting and take meeting minutes.

Minimum Education and Experience

Bachelors degree preferably in business administration or a related discipline from an appropriately accredited institution; or Associates degree in secretarial science business administration or a related discipline from an appropriately accredited institution and two years of progressively responsible administrative/office management experience; or High school or General Educational Development (GED) diploma and four years of progressively responsible administrative/office management experience; or an equivalent combination of education and experience.

ASL experience highly preferred but not required. Candidates will be required to attend ASL classes that are offered through the School during operating hours.
