As we continue to grow we are seeking a thoughtful and proactive Executive Assistant to manage the CEOs office and support a small collaborative executive leadership team.

Position Overview

The Executive Assistant plays a critical role in ensuring the effectiveness and efficiency of the executive office with a primary focus on supporting the Chief Executive Officer. This position partners closely with a small executive leadership team (3 total) and serves as a key coordinator of priorities information flow and administrative operations.

The EA manages complex scheduling prepares leaders for meetings and engagements supports communication workflows and ensures seamless day-to-day operations. This role requires strong judgment discretion and the ability to anticipate needs in a fast-paced relationship-driven environment.

Key Responsibilities

The Executive Assistant will:

  • Manage and prioritize the CEOs calendar ensuring alignment with strategic priorities and proactively identifying potential conflicts or constraints
  • Serve as a primary point of contact for the executive office managing inbound communications and facilitating timely thoughtful responses
  • Prepare briefing materials and ensure the CEO is fully prepared for meetings events and external engagements
  • Track action items and follow-ups to support accountability and continuity across the executive team
  • Maintain accurate notes and records of meetings in alignment with organizational systems
  • Coordinate travel arrangements and logistical details for executive engagements
  • Support planning and logistics for board and leadership meetings
  • Manage expense reporting and reconciliation in compliance with organizational procedures
  • Provide additional support to senior leadership including scheduling and administrative coordination as needed

Candidate Profile

The ideal candidate is highly organized detail-oriented and able to operate with discretion and sound judgment in all interactions. This individual is both proactive and adaptable-capable of anticipating needs managing competing priorities and maintaining a high level of professionalism in a dynamic environment. They are a strong communicator who values relationship-building and understands the importance of representing senior leadership with care and precision.

Desired Qualifications

  • 3 years of experience providing executive-level administrative support
  • Experience working with a Board and/or a nonprofit organization
  • Demonstrated ability to manage complex calendars and competing priorities
  • Strong organizational skills with attention to detail and follow-through
  • High level of discretion and ability to handle confidential information
  • Excellent written and verbal communication skills
  • Strong interpersonal skills and ability to work effectively across teams and stakeholders
  • Experience with CRM systems (Salesforce preferred not required)
  • Advanced proficiency in Microsoft Outlook and working knowledge of Microsoft 365 tools
  • Ability to work effectively in a fast-paced and evolving environment
  • Comfort operating with ambiguity while exercising good judgment
  • Collaborative mindset and willingness to support a range of organizational needs

Work Environment & Expectations

DC-area staff currently work in a hybrid environment with a required two days per week in the office (Tuesdays mandatory). This position will require some flexibility to be present in the office with the CEO to support external meetings. This person will travel approximately four times per year to support organization-wide events and activities. Occasional flexibility outside standard business hours may be required to support executive needs particularly during travel or high-priority periods; however this is not an on-call role.

Compensation & Paid Time Off

  • Salary: $97000 $106000
