Overview
We are seeking a resourceful highly organized and enthusiastic Executive Assistant to provide comprehensive administrative and operational support. This role reports directly to the President & CEO of American Jewish University and sits at the intersection of donor and community relations and project management.
The ideal candidate thrives in a fast-paced collaborative environment is curious has strong emotional intelligence and thrives on a follow-through and follow-up. The candidate will additionally provide support for AJUs new initiative the 2050 Institute.
Key Responsibilities
- Schedule meetings with donors prospects and community leaders.
- Manage complex ever-changing calendar.
- Act as a liaison between President and internal/external stakeholders
- Screen and prioritize calls messages and requests.
- Prepare briefing materials agendas and meeting notes.
- Track action items and follow up to ensure deadlines are met.
- Support special projects including the 2050 Institute from planning through execution.
- Develop and maintain project plans tracking tools and status reports.
- Maintain Presidents donor records in the database.
Qualifications & Experience
- Bachelors degree or equivalent combination of education and relevant professional experience required with a minimum of five (5) years of experience in a high-responsibility role supporting senior leadership.
- Strong judgment and discretion in handling confidential and sensitive information with a clear understanding of privacy and professionalism in both written and verbal communications.
- Advanced proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint) and collaborative platforms such as Microsoft Teams and HubSpot.
- Experience in higher education or nonprofit environments with an understanding of the unique needs within this sector.
- Knowledge of Jewish community customs lifecycle events and traditions preferred.
- Strong organizational skills with meticulous attention to detail and project management.
- Ability to work both independently and collaboratively
- Must have a positive professional and service-oriented leadership style.
- Must be able to maintain predicable and reliable attendance.
- Must be authorized to work in the United States.
- Must be able to work occasional evenings and weekends including holidays.
Physical Requirements & Work Environment
- The role requires the ability to remain standing or sitting for extended periods of time.
- Must be able to lift push pull and carry objects (15 lbs.) such as files and office supplies.
- Occasional travel to other campus sites and off-site locations may be required.
Compensation
- Salary Range:$95000 - $105000 annually.
