The Executive Assistant to the Superintendents Office provides high-level administrative and communications support to the Superintendent and Assistant Superintendent of Schools. This position plays an essential role in ensuring efficient office operations effective communication and responsive engagement with staff families community members and other stakeholders.
The Executive Assistant also serves as Clerk to the Board of Education coordinating meeting agendas and materials preparing minutes maintaining required records and supporting compliance with established policies and procedures. The ideal candidate is an exceptionally organized and skilled communicator who demonstrates sound judgment professionalism discretion and the ability to manage multiple priorities in a fast-paced environment.
- Manage confidential and routine communications correspondence schedules reports records and documents for the Superintendents Office.
- Coordinate calendars meetings appointments and travel arrangements for the Superintendent and Assistant Superintendent.
- Serve as Clerk to the Board of Education including coordinating agendas and meeting materials preparing minutes maintaining official records and supporting follow-up activities.
- Prepare presentations reports press releases and other materials for Board of Education meetings and district initiatives.
- Maintain accurate organized and accessible physical and digital filing and recordkeeping systems.
- Respond to inquiries from staff families community members members of the media and the public with professionalism discretion and appropriate follow-through.
- Assist with the development preparation presentation and distribution of district budget documents.
- Support student registration processes and other districtwide administrative functions.
- Coordinate and complete required state reporting including the Public School Information System (PSIS) and ensure that technical and time-sensitive reports are submitted accurately and on schedule.
- Monitor deadlines track action items and support the timely completion of projects and district priorities.
- Perform other administrative duties as assigned.
- Lead the development and distribution of district-level communications including news articles family and staff notices website updates social media content press releases and community announcements.
- Highlight and celebrate student staff school and district accomplishments through written graphic photographic and video content.
- Ensure that district communications are accurate clear timely accessible and consistent with established branding and messaging.
- Serve as a liaison between the Superintendents Office and internal and external stakeholders including staff families members of the media community organizations and district partners.
- Assist with emergency and time-sensitive communications including school closings delays weather-related announcements and other urgent notifications.
- Support communication planning for district events initiatives and community engagement efforts.
- Perform other communications-related duties as assigned.
- Bachelors degree in communications public relations business administration education or a related field preferred.
- Previous experience providing executive-level administrative support preferably in a school district public agency or similarly complex organization.
- Knowledge of school operations and public education systems preferred.
- Experience with photography video editing graphic design or desktop publishing preferred.
- Excellent written verbal proofreading and interpersonal communication skills.
- High level of professionalism discretion and sound judgment.
- Demonstrated ability to manage confidential and sensitive information appropriately.
- Strong organizational project-management and time-management skills.
- Ability to manage multiple priorities meet firm deadlines and work independently with minimal supervision.
- Ability to anticipate needs solve problems and follow assignments through to completion.
- Ability to build and maintain courteous collaborative and professional relationships with a wide range of stakeholders.
- Proficiency with Google Workspace Canva social media platforms and standard office technologies.
- Ability to learn and use district databases communication systems and state reporting platforms.
- Careful attention to accuracy detail consistency and recordkeeping requirements.
- Ability to distinguish between confidential information and information subject to public disclosure.
- Work is performed primarily in a standard office environment with frequent interruptions and periods of high work volume.
- The position requires the ability to sit for extended periods and regularly use computers and other office equipment.
- Must be able to lift and carry materials weighing up to 40 pounds.
- Evening hours may be required to support Board of Education meetings district events or other activities.
- Early-morning availability may occasionally be required for emergency weather-related school-closing or delay communications.

Salary Range:$75000$85000
Additional Compensation:Provided for attendance at Board of Education meetings
