Position Overview
We are seeking a highly organized proactive and polished Executive Assistant to support the President and other members of the executive team. This position serves as a key partner to the President and a primary point of contact for internal and external stakeholders.
The ideal candidate is a forward-thinking solutions-oriented professional with exceptional judgment strong business acumen and outstanding organizational and communication skills. This individual will be comfortable managing sensitive information navigating competing priorities and anticipating needs in a fast-paced environment.
Success in this role requires someone who is detail-oriented adaptable discreet and confident working with people at all levels of an organization.
Key Responsibilities
  • Manage the Presidents calendar including scheduling prioritization and gatekeeping.
  • Plan and coordinate internal and external meetings events and executive activities.
  • Coordinate all aspects of business travel including flights ground transportation accommodations and itineraries.
  • Prepare meetings for maximum effectiveness including agendas pre-reads handouts presentations technology meeting spaces and other logistics.
  • Research and coordinate venues catering entertainment and other event-related needs.
  • Support quarterly Board meetings and company Townhalls including presentation preparation and meeting logistics.
  • Monitor and prioritize incoming mail and email ensuring important matters receive timely attention.
  • Communicate on behalf of the President with internal and external stakeholders.
  • Maintain organized administrative files records documents and other confidential information.
  • Compile and organize business and personal expenses invoices and financial documentation.
  • Handle sensitive business and personal information with the highest level of confidentiality and discretion.
  • Anticipate needs identify potential issues and proactively provide solutions.
  • Provide additional administrative and organizational support to the executive team as needed.
Qualifications & Experience
  • Minimum of 3 years of related executive or administrative experience.
  • Associate or bachelors degree in business marketing communications or a related field preferred; equivalent experience will be considered.
  • Expert-level written and verbal communication skills.
  • Strong proficiency with Microsoft Office and other business technology.
  • Demonstrated ability to manage multiple priorities projects and deadlines simultaneously.
