The Opportunity
At Alpha Inc. purchasing isnt about placing orders. Its about keeping the operation moving.
When a machine is down a crew is waiting or a critical part is sitting on backorder somewhere across the country we need someone who doesnt simply send an email and wait.
We need someone who owns it.
Alpha Inc. is looking for a Purchasing Agent who is organized relentless about follow-through sharp on the details and wired with a genuine sense of urgency. Youll source and purchase the parts equipment tools materials supplies and specialty items that keep our equipment maintenance construction and field operations running.
This is not a transactional purchasing role.
Youll own purchasing requests from initial request through successful deliveryfinding the right part verifying the details tracking the shipment chasing the backorder communicating the delay finding Plan B when Plan A falls apart and making sure the person who needs it actually gets it.

What Youll Own
Own the Purchase Start to Finish
- A request hitting your desk is the beginning of your responsibility not the end.
- Youll own purchasing requests through final delivery making sure orders are accurate complete documented actively tracked and successfully received.
- That means verifying part numbers serial numbers equipment information specifications quantities compatibility pricing and shipping information before an order goes out.
- And when a repair requires more than one component youll work with mechanics maintenance personnel vendors and manufacturers to make sure the team has the seals fittings hardware fluids kits and related components necessary to actually finish the job.
Attack Downtime With Urgency
A backordered part isnt just a line on a spreadsheet.
It can mean equipment sitting instead of working.
Youll work closely with the Equipment Superintendent foremen mechanics and operations personnel to understand whats critical whats coming next and where delays could hurt maintenance schedules safety field productivity or project operations.
Critical order stuck
Call the vendor.
Still stuck
Call again. Find another distributor. Check the manufacturer. Explore another shipping method. Find another solution.
Youre expected to aggressively follow up on critical parts emergency orders backorders and delayed shipmentsand immediately escalate significant issues that could extend equipment downtime.
Communicate Before Someone Has to Ask
Great purchasing professionals dont make the operation hunt them down for answers.
Youll maintain current information on open orders estimated delivery dates tracking numbers partial shipments backorders substitutions cancellations and outstanding items.
When something changes you communicate it.
Not tomorrow.
Not when someone asks.
When it matters.
Sometimes the obvious vendor wont have it.
Thats where resourcefulness matters.
Youll source heavy-equipment and heavy-duty truck parts components tools materials supplies consumables equipment and specialty products from vendors throughout the United States and internationally.
When traditional channels dont work youll identify alternate manufacturers dealers distributors vendors shipping methods and sourcing options.
Nobody has it isnt the end of the search. Its information you use to determine your next move.
Make Smart Purchasing Decisions
- Lowest price doesnt always equal lowest cost.
- Youll evaluate purchasing decisions based on cost quality availability lead time freight vendor reliability and the operational impact of equipment downtime.
- Youll negotiate pricing freight delivery schedules payment terms and other purchasing terms to deliver the best overall value for Alpha.
- Youll also conduct market research and cost analysis monitor purchasing activity and expenditures identify potential shortages and long-lead items and help anticipate supply-chain problems before they become operational problems.
- Hold Vendors and Yourself Accountable
- Build strong supplier relationships but dont confuse a good relationship with accepting poor performance.
- Youll evaluate and hold suppliers accountable for:
- Pricing. Accuracy. Quality. Responsiveness. Reliability. Delivery.
- Youll also resolve damaged incorrect incomplete duplicate or missing shipments; manage returns credits and discrepancies; maintain purchasing documentation; support supplier agreements; and help mitigate procurement risks.
- Youll use Alphas procurement equipment-management and related systems to maintain accurate purchasing and supplier information and generate reports that support operational decisions.
What You Bring
Were looking for someone who has already learned that great purchasing is equal parts technical knowledge organization communication persistence and judgment.
You should bring:
- 3 years of experience as a Purchasing Agent Parts Specialist Parts Coordinator Buyer or in a similar purchasing/procurement position preferably within construction heavy equipment trucking fleet or a related industry.
- Heavy-equipment and/or heavy-duty truck parts knowledge and experience is strongly preferred.
- Familiarity with heavy-equipment and truck systems components maintenance requirements manufacturers dealers and parts terminology is preferred.
- Experience working with mechanics foremen equipment superintendents maintenance departments fleet operations or similar operational teams is preferred.
- The ability to understand the real-world impact of equipment downtime and prioritize accordingly.
- Exceptional organization and the ability to manage multiple open orders and urgent requests simultaneously.
- Strong attention to detail when verifying part numbers specifications quantities pricing shipping information and purchasing documentation.
- Strong sourcing negotiation problem-solving and vendor-management skills.
- Clear proactive communication with maintenance teams supervisors vendors and other stakeholders.
- The ability to work independently follow up without prompting and finish what you start.
- Experience sourcing difficult-to-find products and working with domestic and international suppliers is preferred.
- Proficiency in Microsoft Suites including Word and Excel and MAC Suites is required.
- Proficiency in HCSS or Adobe Acrobat is preferred.
- Familiarity with construction equipment purchasing systems and applicable industry standards.
- Valid Hawaii Drivers License required.
