As the Engineering (Maintenance) Coordinator provides essential administrative and operational support to the Engineering/Maintenance Department helping ensure the smooth and efficient execution of daily activities. This role is responsible for coordinating work orders facilitating clear communication across departments and supporting procurement and inventory processes.
The Engineering (Maintenance) Coordinator also maintains accurate records prepares reports and leverages systems and tools to optimize workflows. By streamlining processes and enhancing organization this position plays a critical role in improving operational efficiency and supporting field teams in delivering high-quality results.
What you will do:
- Coordinate and track maintenance and service work orders to ensure timely completion accuracy and proper documentation.
- Support managers and team leads with scheduling prioritization and follow-up on service requests.
- Collaborate closely with Front Desk Housekeeping and other departments to coordinate room access blocking and guest readiness.
- Assist with procurement activities including inventory coordination and vendor communication.
- Maintain and analyze operational data; prepare regular reports on work order performance response times and trends.
- Identify and implement opportunities to streamline workflows and improve operational efficiency.
- Provide support to team members on system usage and troubleshoot basic system-related issues.
- Serve as a key liaison between Engineering and other departments to ensure clear timely communication.
- Support safety compliance and risk management initiatives within the department.
- Perform additional duties as assigned to support department and organizational goals.
Qualifications :
- High School Diploma or equivalent required; associate or bachelors Degree in a related field is preferred.
- Must have a valid drivers license.
- Minimum 1-2 years in a professional setting such as administrative support facilities management logistics or operations.
- Experience in facility maintenance or construction environments is a plus.
- Strong organizational and time-management skills.
- Detail-oriented with solid problem-solving abilities.
- Must communicate effectively with immediate supervisors and resort leadership.
- Written and verbal communication in English is required.
- Experience with work order management systems (HotSOS or similar) and procurement systems (e.g. Oracle).
- Proficiency in Microsoft Office products.
- Ability to work independently and manage multiple priorities.
- Must be able to occasionally lift and/or move up to 25 lbs.
