Job Summary

We are seeking a Document Specialist I to support document services procedure administration records management and technical documentation activities in a highly regulated environment.

The ideal candidate will be detail-oriented organized and experienced with Electronic Document Management Systems (EDMS) document control records management technical writing document formatting and controlled procedures.

Key Responsibilities

  • Process document and procedure revisions.

  • Manage workflow queues within an Electronic Document Management System (EDMS).

  • Create revise format review and quality-check controlled documents.

  • Maintain document metadata records inventories and filing structures.

  • Support records classification retention retrieval and disposition activities.

  • Assist with records digitization scanning indexing and electronic file organization.

  • Operate document imaging scanning and media conversion equipment.

  • Perform document quality reviews for formatting metadata accuracy and compliance.

  • Support procedure development and document governance activities.

  • Assist users with document management processes and system navigation.

  • Support document migrations workflow processing and data-quality initiatives.

  • Maintain accurate records while managing high volumes of documents and workflow activities.

Required Qualifications

  • Experience with EDMS document control systems or content management platforms.

  • Strong technical writing editing and document-formatting skills.

  • Experience creating revising reviewing or processing controlled documents and procedures.

  • Proficiency with:

    • Microsoft Word

    • Excel

    • Outlook

    • SharePoint

  • Strong attention to detail and accuracy.

  • Ability to manage large volumes of documents and records.

  • Strong written and verbal communication skills.

  • Ability to work independently while following established procedures and governance requirements.

Preferred Qualifications

  • Experience with OpenText Documentum or similar enterprise document management systems.

  • Experience with procedure administration or document control programs.

  • Records management experience including classification retention filing retrieval and disposition.

  • Experience in nuclear utility engineering manufacturing quality assurance or another regulated industry.

  • Experience with document migrations metadata management workflow processing or data-quality initiatives.

  • Experience with scanning imaging microfilm or other media-conversion equipment.

Physical & Work Environment

  • Primarily sedentary office work involving extended computer use and document processing.

  • Occasional lifting and movement of files records and storage boxes up to approximately 25 pounds.

  • May require reaching bending stooping walking and occasional use of step stools or ladders to retrieve records.

  • Work may occasionally be performed in file rooms archives or records storage areas.

  • Minimal travel and no routine field or construction-site work expected.
