Job Summary
Provides hands-on document management and records-processing support in a federal litigation and records environment. The Document Management Technician reviews organizes indexes retrieves files and prepares case-file materials while maintaining accurate records and following established procedures for document control records accountability and quality assurance.
Daily responsibilities may include preparing documents for scanning or imaging entering and validating information in databases or tracking systems assembling and labeling files maintaining logs and inventories conducting basic database searches and performing quality-control checks. The role requires strong attention to detail the ability to follow detailed instructions identify discrepancies ask questions when requirements are unclear and consistently protect sensitive information.
Key Responsibilities:
- Follow written procedures and records-management guidance while reviewing organizing indexing reboxing and preparing assigned files for storage or transfer.
- File retrieve copy tab number label assemble and re-file materials; create detailed folder-level inventories and maintain required logs and production records.
- Prepare documents for imaging or scanning including screening labeling assembly/disassembly and related document-collection activities while preserving document order and integrity.
- Enter and verify data in records systems and databases perform simple database searches and use office/network applications to create accurate indices and records-accountability information.
- Proofread and correct OCR text when assigned retrieve or reproduce documents and perform peer quality control to identify and correct errors before work is finalized.
- Follow applicable federal records policies disposition schedules chain-of-custody requirements and records-transfer guidance while protecting sensitive legal and litigation-related information.
- Ability to perform detailed work consistently and accurately including under deadline pressure. Must be able to read and follow instructions and understand the purpose and context of assigned work within a broader litigation-support effort.
- Must take initiative to ask questions when instructions are unclear or appear inconsistent with the task objective. Typing/keyboarding skills and clear communication skills are required.
- Must be a knowledgeable user of office and network environments including word-processing database spreadsheet imaging/scanning and related document-processing systems.
- High School Diploma or GED required. Undergraduate degree preferred but not required. Prior litigation-support experience is valued.
- Experience handling sensitive legal investigative or litigation-related records with a high degree of accuracy confidentiality and attention to detail is required. Familiarity with NARA federal records-management requirements records disposition schedules or records-transfer procedures is strongly preferred.
- Must be available to work full time onsite in Washington DC 40 hours per week and 8 hours per day on an approved schedule covering core business hours.
- Must be willing to comply with all confidentiality requirements applicable to sensitive legal and investigative records. Resume should clearly document relevant document-management records litigation-support and systems experience.
- U.S. Citizen. Must be able to successfully complete the required federal security/background screening including a Minimum Background Investigation (MBI) and conflict review before starting work.
