Work Environment

- In-office Tuesdays Thursdays and 2nd & 4th Fridays of each month

Position Summary
The Document Controller III is responsible for maintaining organized accurate and up-to-date project documentation by efficiently processing deliverables and ensuring timely compliant communication between internal teams clients and vendors. This role supports complex and multi-discipline projects oversees document workflows and ensures compliance with contractual and procedural requirements.
Required Experience & Qualifications
- 4 6 years of document control experience including support for complex projects
- Advanced knowledge of EDMS systems required
- Content Server experience highly preferred
- High proficiency in Microsoft Excel and Adobe Acrobat Pro
- Strong analytical organizational and reporting skills
- Excellent written and verbal communication skills
- Ability to interpret contract documentation requirements
- Strong communication and follow-up discipline
- Ability to work independently and manage multiple priorities
- Experience mentoring junior staff
- Must be bilingual in Spanish and English
Key Responsibilities
Document Control & Project Support
- Maintain organized and accurate project documentation
- Upload and manage documents within the EDMS
- Perform metadata entry quality checks and revision control
- Process transmittals correspondence and distribution workflows
- Maintain project folders and ensure metadata accuracy
- Manage project MDL/MDR and document tracking activities
- Coordinate document reviews between internal teams clients and vendors
- Prepare project status reports and support audits
Workflow & Compliance
- Apply document numbering revision control and distribution procedures
- Execute approval cycles and document workflows
- Ensure compliance with project standards and contract requirements
- Implement project-specific document control procedures
- Optimize workflows and identify process improvement opportunities
Leadership & Coordination
- Serve as the primary point of contact for project documentation
- Lead document control activities for complex or multi-discipline projects
- Provide guidance and support to junior document control staff
- Collaborate with Project Managers Engineering Quality Supply Chain and Planning teams
Key Performance Indicators
- Accuracy of data entry and metadata management
- Timely processing of deliverables and workflows
- Compliance with project procedures and audit requirements
- Review cycle turnaround time
- Quality of reporting and document reviews
- Stakeholder responsiveness and satisfaction
- Reduction of rework and workflow inefficiencies
- Ability to meet tight deadlines in a fast-paced environment
Education Requirements
Minimum:
- High School Diploma plus at least 3 years of Document Control management experience
Preferred:
- Bachelors Degree in Engineering Business Administration Information Management Quality Assurance Human Resources or a related field
