Job Summary
Job Description:
The Data Entry Assistant at Compass Realty Inc will be responsible for entering updating and maintaining property listings client information and transaction records across internal systems and MLS platforms. This role requires precision speed and strong organizational skills to ensure accurate data that directly impacts listings visibility transactions and client communication.
Key Responsibilities:
- Enter and update property listings into the MLS (Multiple Listing Service) and company database including photos pricing and property details
- Input and maintain client tenant and property owner information in the CRM system
- Review contracts leases and closing documents for accuracy before data entry
- Update transaction files and track key dates (closings lease renewals inspection deadlines)
- Cross-check property data (addresses square footage pricing status changes) against source documents for accuracy
- Organize and maintain digital and physical filing systems for listings contracts and client files
- Assist agents and brokers with preparing listing sheets flyers and marketing materials using entered data
- Upload and organize property photos floor plans and disclosure documents
- Communicate with agents brokers and administrative staff to resolve data discrepancies
- Generate basic reports on listings sales activity or client records as requested
- Maintain confidentiality of client and financial information
- Perform other administrative and clerical duties as assigned
Required Qualifications:
- High school diploma or equivalent
- 1 year of data entry administrative or clerical experience
- Strong typing speed and accuracy
- Proficiency with Microsoft Office (Excel Word Outlook) and general computer literacy
- Excellent attention to detail and organizational skills
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Strong written and verbal communication skills
