About this Opportunity
Reporting tothe Associate Director the Program Assistant isresponsible forperformingadministrative and student services work within the office including using knowledge and experience specific to the student conduct process as outlined in the Washington Administrative Code (WAC 478-121) as well as other University administrative policies.
This role serves on the University of Washington Seattle campus and is eligible for telework 2x/week.
Key Responsibilities
Conduct Process (40%)
Create andmaintainstudent disciplinary records related to student conduct cases including the Expedited Resolution process following standard procedures outlined inUniversityand department policies and procedures.
Perform complex scheduling including independently prioritizing needs of students faculty committeemembersand staff. Provide scheduling and administrative support for the Committee on Academic Conduct for the College of Arts & Sciences and their CSSC staff liaison.
Records Management (40%)
Use word processing statistical spreadsheet webdesignand/or data base software to produceaccurateand detailed reports in the support of data-driven decision making.
Review and interpret University conduct records. Perform background checks for investigators requesting information. Completeinitialreview of conduct checks forUniversitypartners including Study Abroad and refer cases tosupervisor as necessary. Review and complete transfer form requests and provide them to the Director for signature.
Establish andmaintainrecords and filesin accordance withdepartment and University records retention policies.
Administrative Support(20%)
Provide basic information to students staff faculty academic integrity committees and/or the publicregardingthe student conduct process and policies other CSSC programs or projects and refer questions to other staff asappropriate.
Provide reception support for the office by welcoming students faculty staff and campus guests and answering basic questions. Answer a high volume of phone calls and emails.
Provide office support by coordinating things such as supply inventory surplus processes office preparedness key inventory and management facility work orders and collecting and routing mail
Compose correspondence printed materials and/or news releases related to program policies procedures and operations; edit materials for accuracy appearance readability and style.
Maintaincentralemail account providing responses or referrals to otherstaffas necessary.
Maintain and update printed materialsatthe direction of supervisor ordesignee.
Perform regular updates to CSSC and Student Conduct websitesatthe direction of supervisor or designee.
Managefinancialprocesses including pro-card reconciliation office supply purchasing and management reservations and reimbursement for travel.

Minimum Qualifications

High school graduation or equivalentAND
Two years of clerical experience
Additional Qualifications
Demonstrated ability to handle confidential materials with discretion.
Excellent organizational and project management skills requiring great attention to detail.
Outstanding oral and written communication skills.
Success interpreting and communicating complex policiesproceduresand agreements.
Ability to work independently with general supervision.
