Summary:
Provides administrative and technical support to the Corporate BIM Department including management of BIM software documentation training records and operational processes to ensure compliance with company and project requirements.
Essential Duties and responsibilities:
- Provide administrative support to the BIM department leadership and staff.
- Coordinate daily department operations schedules and internal communications.
- Track office supplies software license inventories and expense documentation.
- Maintain departmental calendars contact lists and organizational records.
- Maintain and update associated logs and documentation systems.
- Provide administrative and operational support including payrollassistance processing requests andmaintainingreports.
- Collect review and process employee timesheets for accuracy and completeness.
- Coordinate payroll submissions in accordance with company payroll deadlines.
- Assist managers with labor reporting and payroll-related documentation.
- Compile information for audits compliance reviews and management reporting.
- Process expense reports including coding and submission of monthly AMEX statements.
- Order supplies and support departmental resource needs.
- Ensure compliance with company policies procedures and safety requirements.
- Assist the BIM Specialist with coordinating departmental training initiatives and support quality personnel across the organization.
- Support onboarding and offboarding of BIM personnel.
- Manage an onboarding checklist for new employees onboarded into the BIM department.
- Maintain training records for employees undergoing department training.
- Assist with budgeting for BIM software hardware and training.
- Coordinate travel arrangements and departmental events as required.
- Perform other administrative duties as assigned.

- Ability to read analyze and interpret technical procedures and documents.
- Ability to effectively communicate with internal teams and support personnel across multiple departments.
Reasoning Ability:
- Ability to apply common sense understanding to carry out detailed written and oral instructions and manage multiple tasks efficiently.
Education and/or Experience:
- High school diploma or general education degree (GED)required; associate degree or higher preferred.
- Minimum of 25 years of administrative experience preferably in construction quality or related industry.
- Equivalentcombination of education and experience may be considered.
