Job Summary

The Conflicts & New Business Specialist supports the Conflicts & New Business Manager and Senior Director in managing the departments core operational functions including helpline support client and matter intake and data administration. The Specialist serves as a primary point of contact for attorneys legal assistants and staff seeking assistance with new business intake client matter maintenance and the triage of complex or sensitive this role the Specialist is responsible for opening and maintaining client and matter records in Intapp and 3E and for ensuring the accuracy and integrity of data across the Firms conflicts database and accounting systems. The Specialist also supports audits and internal review requests and adapts to evolving workflows and technologies in support of the departments broader operational objectives.

Duties and Responsibilities:

  • Serve as a point of contact for the department helpline responding to inquiries from attorneys legal assistants and staff regarding new business intake and client matter status.
  • Triage helpline requests and escalate complex or sensitive inquiries to appropriate team members.
  • Provide clear professional and timely communication in response to all requests.
  • Open new client and matter records within Intapp and 3E ensuring data accuracy and consistency.
  • Assist with matter maintenance tasks including updates to client and matter records and attorney assignments.
  • Provide operational support for client and matter maintenance requests New Business Form processing and retrieval of engagement letters and related documentation.
  • Enter and maintain accurate data in the Firms conflicts database and accounting system.
  • Perform database searches and generate reports as requested.
  • Assist in identifying and resolving data discrepancies or duplicate records.
  • Learn and adapt to system updates enhancements and new workflows as implemented.
  • Support testing and validation of Intapp system updates and integrations.
  • Support audits internal reviews and data requests related to conflicts and risk management.
  • Provide additional operational support as the departments needs evolve.

Education and/or Experience:

Required:

  • Bachelors degree or minimum of 2 years of experience in a law firm or data administration role.
  • Strong written and verbal communication skills.
  • High attention to detail and ability to handle confidential and sensitive information with discretion.
  • Proficiency in Microsoft Office applications.

Preferred:

  • Experience with Intapp Open Intapp Terms or similar conflicts/risk management applications.
  • Familiarity with 3E (Thomson Reuters) and NetDocuments.

The target salary range for this role is:

$62600 - $79800 if located in Illinois.

Salaries vary by location and are based on numerous factors including but not limited to the relevant market skills experience and education of the selected candidate.
