The Role

The Client Service Manager is responsible for the day-to-day client communication coordination and follow-through for an assigned portfolio of tax clients.

This is not a traditional administrative role. We are looking for someone with strong U.S. tax-firm experience client-service judgment and tax workflow knowledge who can confidently manage client relationships keep work moving and coordinate effectively with tax professionals and leadership.

Core Responsibilities
  • Own day-to-day client communication and follow-through for an assigned portfolio of tax clients ensuring requests questions commitments and escalations are handled appropriately and on time.

  • Build and maintain strong client relationships including confidently managing difficult upset or high-expectation clients while maintaining a professional and solutions-oriented experience.

  • Apply strong U.S. tax and accounting knowledge to understand client needs navigate tax workflows identify what can be handled independently and recognize when technical input or escalation is required.

  • Coordinate tax return workflows and deadlines using Karbon and other systems to maintain visibility identify stalled work and ensure clear ownership and next steps.

  • Coordinate across CPAs EAs preparers reviewers and leadership to keep client matters moving without creating unnecessary handoffs or communication gaps.

  • Maintain accurate client dossiers communication records inboxes and workflow information so the team has the context needed to serve clients effectively.

  • Support client onboarding and transitions ensuring information expectations responsibilities and next steps are clearly communicated.

  • Identify recurring client-service or workflow issues and recommend practical improvements that make client delivery more consistent and efficient.


Requirements
  • 3 years of direct experience in a U.S. CPA firm tax firm or tax department supporting individual and/or business tax clients.

  • Strong working knowledge of U.S. tax preparation and tax-return workflows including deadlines extensions estimated payments amendments electronic filing signature requirements and common missing-document situations.

  • Working knowledge of Forms-S and 1120 including familiarity with related K-1 W-2 and 1099 reporting.

  • Understanding of common tax-return workflow stages and business financial statements with the ability to follow where a client matter is in the process and identify what is still needed.

  • Experience communicating directly with tax clients and working with CPAs EAs tax preparers reviewers and/or tax leadership.

  • Ability to understand routine tax-related client questions handle appropriate matters independently and recognize when technical tax input or escalation is required. This role does not provide tax advice.

  • Strong understanding of tax-firm client workflows documentation deadlines and follow-through.

  • Experience managing multiple client relationships and competing priorities with strong organization judgment communication and follow-through.

  • Comfortable working independently in a remote environment and taking ownership without constant direction.

Strongly Preferred
  • Experience with Karbon or another tax/accounting practice-management or workflow platform.

  • Experience managing shared or executive inboxes and client communication workflows.

  • Experience working with business owners entrepreneurs or high-net-worth clients.

  • Familiarity with IRS notices and tax-related client issues.

  • Experience with client dossiers CRM/workflow systems or automation tools.

  • Accounting tax EA CPA or other relevant professional credentials/background.
