Reports To: Marketing and Events Manager
Support ESC Region 11s front office registration and stakeholder service functions by assisting with OnTrac-related processes event registration customer support and related operational tasks to ensure efficient service and a positive customer experience.

Education/Certification
- High school diploma or GED required.
- Associates degree bachelors degree or additional training in office administration business communications or a related field preferred.
Special Knowledge/Skills
- Strong organizational communication public relations and interpersonal skills.
- Ability to work collaboratively with ESC staff and campus district and charter school personnel.
- Knowledge of customer service registration reception and general office support practices.
- Ability to manage multiple tasks and deadlines with accuracy and attention to detail.
- Ability to respond professionally and effectively to questions from internal and external stakeholders.
- Ability to take initiative solve problems and exercise sound judgment.
- Proficiency in the use of computers and software applications for word processing spreadsheets databases email and data entry.
- Ability to learn and use systems and processes related to registration stakeholder communication and front office support.
Experience
- Two or more years of experience in receptionist customer service registration or administrative support work required.
- Experience in an education environment and with registration or database systems is preferred.
Essential Duties and Responsibilities

**This position may be partially or completely funded using grant and/or federal monies and is assigned programs to include activities designed to enhance the effective and coordinated use of funds.
- Actively participate in interdepartmental teams to help improve student performance in the region improve ESC internal operations and meet established ESC goals and objectives.
- Serve as a responsive first point of contact for stakeholders in the education community and maintain positive public relations with school district employees agency personnel and other stakeholders.
- Answer telephone calls and respond to questions related to registration sessions profile accounts events and general ESC information.
- Provide customer service and support to outside individuals regarding workshop sessions registration attendance profile accounts and general event information.
- Assist with workshop and event registration processes including input of registration and attendance information and support for participants.
- Maintain workshop attendance reports registration records invoicing documentation and other related records with accuracy and timeliness.
- Prepare workshop records for invoicing and submit required documentation to the Business Office.
- Review and approve event plans as assigned and support related event coordination processes.
- Provide backup support to other registration clerks and receptionists to ensure continuity of service.
- Develop and present training materials for internal staff as assigned.
- Maintain working knowledge of OnTrac system functions and related registration processes; one position may serve in an advanced support role for system administration troubleshooting and coordination with Technology as assigned.
- Serve as a liaison with users and the Technology department as needed to support technical assistance system functionality and process improvement.
- Provide recommendations for improvement of registration-related systems software and workflows.
- Perform other duties as assigned.
Supervisory Duties None.
Computers projection devices control panels in meeting rooms printers productivity software software specific to the job assignment network resources internet resources and other hardware and software necessary to perform the functions of the job effectively and efficiently.
Mental: Public relations and people skills are always required work with frequent interruptions and maintain professional composure and confidentiality under stress.
Physical: Occasional prolonged and irregular hours ability to move tables and chairs and load/unload boxes and materials. Prolonged use of a computer. Infrequent regional and state-wide travel.
Environmental: Open Cubicles/workstations
Annual performance evaluation will be performed in accordance with the adopted policies of the Education Service Center Region 11. Employment in this position is contingent upon performance need and funding.
