CEI Field Secretary Assistant Contract Support Specialist

Job Summary
AECOM is currently seeking to hire an CEI Secretary / Assistant Contract Support Specialist to join our team and provide essential support for multiple transportation and infrastructure projects in the Orlando FL this role the selected candidate will assist with a wide range of contract administration and project documentation tasks including reviewing contractor submittals preparing and maintaining project records and monitoring compliance with FDOT standards.
Responsibilities include but are not limited to:
- Provides administrative and clerical support to help Project Managers and Senior Project Engineers stay focused on project needs
- Assists Project Managers with day-to-day office and project duties including:
- Invoicing and payment tracking
- Progress meetings
- Monthly and final estimates
- EEO compliance
- Construction contract changes
- Data uploads
- Submittal tracking
- Staff certifications and documentation
- Supports project-specific tasks under the direction of the Senior Project Engineer and Project Management team
- Maintains project files directories and documentation throughout all phases of the project
- Organizes and maintains original documents revisions and reproduced documents for easy access and retrieval
- Develops and maintains project-specific filing and document control procedures.
- Uploads and manages project documentation within electronic document management systems (EDMS)
- Records organizes and maintains project photographs and related documentation
- Performs routine administrative and project support tasks with general supervision
- Works with project technical and professional staff to complete assigned tasks and meet project requirements
Qualifications :
Minimum Requirements:
- High School Diploma plus 2 years of related experience or demonstrated equivalency of experience and/or education
- Due to the Nature of the projects US Citizenship is required
Preferred Qualifications:
- Two (2) years of secretarial and/or clerical experience
- Experienced with standard word processing and data management software
- CTQP Final Estimates Level I
