Job Summary
- We are hiring immediately for a full time CATERING ADMINISTRATOR position.
- Location: Kean University - 1000 Morris Avenue Union NJ 07083. Note: online applications accepted only.

- Requirement: Prior experience as a catering coordinator is required; experience in higher education is a plus.
- Pay range: $20.00per hour to$25.00per hour.

Additional Job Duties:
- Event Planning & Execution Coordinate catering events from initial inquiry through completion confirming menus guest counts timelines room logistics equipment and service requirements to ensure successful execution.
- Client Communication & Order Management Serve as the primary point of contact for clients accurately documenting event details communicating policies and deadlines processing changes and ensuring final event specifications are confirmed in advance.
- Operational Coordination Communicate event requirements to culinary service delivery and management teams; prepare event documentation and ensure staffing food beverages equipment and supplies are properly scheduled and available.
- Billing Documentation & Follow-Up Maintain accurate event records pricing contracts purchase orders and billing information; reconcile event details after service and address client questions or service concerns promptly and professionally.

Summary: Responsible for clerical functions and administrative support of food service programs.
Essential Duties and Responsibilities:
- Answer telephones and direct inquiries in a professional and client centric manner.
- Maintain confidential personnel files.
- Assist management staff in preparing confidential employment and labor relations documents including but not limited to proposed disciplinary notices.
- Assist with staffing including finding staff when employees call out on short notice.
- Work effectively and maintain good working relationships with co-workers school personnel administrators students parents and Supervisor.
- Complete and maintain accurate and up to date records of students eligible for free and reduced priced lunches if applicable.
- Enter weekly cash sales and meal counts using computer.
- Perform daily bank deposit reconciliation.
- Process vendor invoices for payment - using computer making sure addition is correct and checking item prices against bid specifications making sure there is no discrepancy in pricing.
- Perform monthly vendor statement reconciliation.
- Prepare monthly state claim form for reimbursement.
- Assist in preparation of end of month financial reports.
- Attend in-service and/or safety meetings as required.
- Maintain clean and safe work environment; ability to perform job safely.
- Performs other duties as assigned.
