Department: Service Department / Parts / Front Office
The Cashier / Receptionist is the customer-facing front line of the accounting office. This position handles all cash and payment transactions for service and parts customers manages daily cash reconciliation and deposits and provides general administrative support to the accounting team and dealership front office. First impressions at the cashier station directly reflect the dealerships professionalism.

Cash Handling & Payment Processing
- Receive and process all customer payments for sales and service repair orders and parts counter transactions: cash check credit/debit card and financing; issue accurate receipts and obtain all required authorizations.
- Verify all service RO totals against the DMS before collecting payment; flag any discrepancies in customer charge to the service advisor or Office Manager before processing.
- Open the cash drawer each morning with a verified starting balance; count and reconcile the drawer at end of shift; document and immediately report any overages or shortages to the Office Manager.
- Prepare the daily bank deposit: count verify and bundle all cash and checks collected from service parts and any other cash sources; balance the deposit to DMS daily transaction reports; deliver or coordinate deposit to the bank per dealership security procedures.
Service Department Support
- Interface with the service lane to coordinate customer vehicle pick-up and RO cashiering workflow; communicate proactively with service advisors on ROs ready for customer payment.
- Manage the loaner vehicle key log: issue and receive loaner vehicle keys with completed loaner agreements; track loaner vehicle status and notify service of overdue returns.
- Assist with customer inquiries at point of cashiering: answer basic questions about their invoice direct complex service or billing questions to the appropriate service advisor or Office Manager.
Front Office & Administrative Support
- Answer the main dealership phone line promptly and professionally; route calls to the correct department or individual; take accurate messages.
- Greet all walk-in customers and visitors; direct them to the appropriate department or personnel with a warm professional demeanor.
- Provide clerical support to the accounting office: scanning and filing documents sorting and distributing incoming mail data entry ordering office supplies and other administrative tasks as directed.
- Support the Deal Billing Clerk or Title Clerk during high-volume periods with document preparation scanning and filing tasks.
- Maintain a clean organized and professional cashier and front office area at all times.
Required Qualifications
- 1 year of cash handling experience in a retail service hospitality or automotive environment.
- Excellent interpersonal communication skills; professional warm and composed in customer-facing situations.
- Basic computer proficiency; ability to learn DMS cashiering and reporting functions.
- Reliable punctual and able to maintain composure and accuracy in a fast-paced high-traffic environment.
- Prior dealership or service department experience is a plus but not required.
