Job Summary:

About the Role

The Capital Project Coordinator serves as thecolleges primary day-to-day representative for capital construction projectsensuring successful execution from planning through closeout. This roletranslates strategic direction into action by coordinating architectscontractors and campus stakeholders while managing schedules budgets andproject communication. Working closely with the Associate VP this positionenables leadership to focus on long-term strategy by taking ownership ofproject delivery resolving issues in real time and driving projects forwardwith accountability clarity and minimal disruption to campus operations.

What Youll Do

  1. Owners Representative / Project ExecutionLeadership (80%)
    1. Serve as the colleges day-to-day owners representative across multiple capital projects
    2. Translate leadership vision and project intent into clear executable plans with architects engineers and contractors
    3. Lead weekly construction meetings track decisions and drive follow-up actions to closure
    4. Coordinate and align contractors vendors and consultants to maintain schedule scope and budget
    5. Act as the primary coordination point between facilities campus stakeholders and project teams
    6. Manage project communication flowensure the right people are informed at the right time (issues risks changes)
    7. Monitor field progress and proactively address schedule risks conflicts and resource gaps
    8. Drive accountability for quality safety and adherence to contract documents
    9. Review and manage change orders identifying cost/scope impacts and recommending action
    10. Track and verify pay applications and project costs against approved budgets
    11. Maintain organized project documentation (logs decisions RFIs submittals meeting notes)
    12. Coordinate campus impacts (access shutdowns interruptions) to minimize disruption to operations
    13. Lead project closeout activities including punch list completion turnover documentation and warranty tracking
  2. Project Planning / Pre-Construction Support (15%)
    1. Support AVP in project formation scope definition and early planning efforts
    2. Provide input on constructability sequencing and campus integration risks
    3. Assist in developing project budgets and high-level schedules
    4. Coordinate early engagement with stakeholders and user groups to refine project requirements
    5. Support the preparation of bid packages and contractor selection processes
    6. Ensure alignment with campus standards and long-term master planning priorities
  3. Campus Coordination & StakeholderEngagement (5%)
    1. Lead coordination with campus departments affected by construction activities
    2. Translate project details into clear practical impacts for non-technical stakeholders
    3. Facilitate project-specific stakeholder meetings focused on operational details and readiness
    4. Ensure projects reflect functional needs of end users while staying aligned to scope and budget


Qualifications:

Minimum Qualifications:

  • Bachelors degree in construction management engineering architecturefacilities management or related field
  • 3 years ofexperience managing or coordinating construction or capitalprojects
  • Demonstrated experience coordinating architects contractors and vendors across multiple projects
  • Working knowledge of construction processes project scheduling and budgeting
  • Ability to read and interpret construction drawings specifications and contracts
  • Experience tracking and managing project costs change orders and pay applications
  • Strongproject management skills with ability to prioritize organize and drive multipleprojects simultaneously
  • Effective communicator with ability to work across technical teams andnon-technical stakeholders
  • Proficient in standard tools (Excel project tracking software documentmanagement systems)
  • Ability to identify issues early and drive resolution without constantsupervision

Preferred Qualifications:

  1. Experience serving as an owners representative or in a similarclient-side project role
  2. Experience in higher education institutional or campus-basedenvironments
  3. Experience managing multiple concurrent projects at different stages (planning construction closeout)
  4. Knowledge of building systems code compliance and life-cycleconsiderations
  5. Strongability to translate design intent into practical operational outcomes

The final salary will be determined based on factors such as education experience skills certifications and alignment with the positions requirements. Other considerations may include internal equity and market conditions.
