Job Summary
Job Overview
We are seeking an experienced Business Process Analyst contractor to facilitate working sessions and produce clear accurate AS-IS process documentation across HR Payroll Benefits Finance and Time & Attendance functions. This role will work directly with cross-functional business stakeholders to capture how current processes operate today identify handoffs and dependencies between teams and produce documentation that can serve as a baseline for future process improvement systems or automation initiatives. This role will report cross functionally to both our VP of Human Resources and Information Technology and collaborate with our Business Analyst.
This is a facilitation- and documentation-heavy role rather than a systems configuration or implementation role. The ideal candidate is comfortable running structured discovery sessions with subject matter experts asking clarifying questions in the moment and translating verbal or whiteboard input into polished standardized process documentation.
- 1099 Contractor: Duration 6 weeks with the possibility to extend
- Schedule: Monday to Friday from 8:30 AM to 5:00 PM
- Wage: $45 to $55 per hour

- Plan schedule and facilitate AS-IS process discovery workshops and interviews with stakeholders across HR Payroll Finance and Time Entry/Time & Attendance teams.
- Document current-state (AS-IS) process flows including process maps/flowcharts swim lane diagrams RACI matrices and supporting narrative descriptions.
- Identify and document system touchpoints manual workarounds data handoffs approval steps and exceptions within existing processes.
- Validate documented processes with stakeholders to confirm accuracy and completeness before finalizing.
- Organize documentation into a consistent reusable format/template that can be maintained by the business after the engagement ends.
- Highlight process gaps redundancies risks or inefficiencies observed during discovery (without necessarily redesigning the process).
- Coordinate across multiple business units to ensure end-to-end process visibility particularly where processes cross departmental boundaries (e.g. time entry payroll finance postings).
- Maintain a repository/tracker of process documentation status open questions and stakeholder sign-offs.
- Present findings and documentation summaries to project sponsors and leadership as needed.
- Proven hands-on experience documenting business processes specifically within HR Payroll Benefits and Finance functions.
- Strong working knowledge of Time & Attendance / Time Entry processes and how they integrate with payroll and finance.
- Demonstrated experience facilitating workshops or interviews with business stakeholders to elicit process information.
- Strong process mapping skills using standard notations (e.g. Visio Lucidchart BPMN swimlane diagrams).
- Excellent written communication skills with the ability to translate complex cross-functional processes into clear structured documentation.
- Strong organizational skills and comfort managing documentation for multiple concurrent process areas.
- Ability to work independently and manage stakeholder relationships across departments without heavy day-to-day oversight.
- Direct experience with Paylocity (strongly preferred) or comparable HRIS/Payroll/Time & Attendance platforms (e.g. Workday ADP UKG/Kronos Ceridian Dayforce).
- Experience supporting process documentation ahead of a systems implementation migration or process improvement/automation initiative.
- Familiarity with payroll compliance considerations (e.g. FLSA multi-state payroll) as they relate to time entry and pay calculation processes.
- Prior experience in a consulting or shared-services environment supporting HR/Payroll/Finance operations.
- AS-IS process maps/flowcharts for each in-scope process area (HR Payroll Benefits Finance Time Entry).
- Supporting process narratives and RACI documentation.
- Consolidated findings summary including identified gaps risks and dependencies.
- Final documentation package delivered in an agreed format (e.g. Visio/PDF/Word/shared drive) with stakeholder sign-off.
- Documentation accurately reflects current-state processes as validated by process owners.
- Cross-functional dependencies and handoffs are clearly captured particularly between Time Entry Payroll and Finance.
- Documentation is delivered in a consistent reusable format that the business can maintain going forward.
