Position Summary

The Palumbo-Donahue School of Business is seeking dependable professional and customer service-oriented students to serve as Office Assistants. Office Assistants are valued members of the administrative team who help support the daily operations of the School of Business.

As a first point of contact for the School Office Assistants regularly interact with students faculty adjunct instructors staff alumni prospective students employers and other visitors. This position provides students with meaningful professional office experience while developing transferable skills in communication customer service organization teamwork and administrative support.

Responsibilities and Duties

Responsibilities include but are not limited to:

  • Greet and assist students faculty staff and visitors in a friendly and professional manner.
  • Answer screen and direct incoming telephone calls and take accurate messages as needed.
  • Sort distribute deliver and retrieve incoming and outgoing mail packages and other materials.
  • Complete campus deliveries and errands to University offices as assigned.
  • Scan copy file organize and distribute departmental documents excluding examinations and other restricted academic materials.
  • Assist with opening and closing procedures for School of Business offices and designated classroom areas.
    Support classroom operations by checking and replenishing dry-erase markers erasers paper and other designated supplies.
  • Monitor office and classroom supply levels and notify appropriate staff when additional materials are needed.
  • Help maintain clean organized professional and welcoming office reception workroom and classroom environments.
  • Assist faculty and staff with administrative projects and general office support.
  • Prepare and organize materials for meetings recruitment activities orientation programs and other School of Business events.
  • Assist with special projects and other related duties as assigned

Required Qualifications Knowledge Skills and Abilities

  • Must be eligible for and awarded Federal Work-Study funding.
  • Must receive official employment clearance before beginning work.
  • May not be enrolled in a major within the Palumbo-Donahue School of Business.
  • Strong customer service and interpersonal skills.
  • Professional verbal and written communication skills.
  • Dependable punctual organized and attentive to detail.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to follow instructions and established office procedures.
  • Ability to work independently and contribute positively within a team environment.
  • Ability to interact professionally with students faculty staff and visitors.
  • Basic proficiency with Microsoft Office applications and general office equipment.
  • Willingness to learn new procedures systems and technologies.
  • Previous office administrative or customer service experience is helpful but not required. Training will be provided.

Academic Integrity and Confidentiality

Due to the confidential nature of the position and the Office Assistants close working relationship with faculty and adjunct instructors applicants may not be majoring within the Palumbo-Donahue School of Business. This requirement helps prevent potential conflicts of interest involving courses instructors examinations grading materials student information and other academic activities.

Office Assistants may encounter confidential information during their work and are expected to protect that information at all times. Student employees are not permitted to copy scan print assemble distribute or otherwise handle examinations or other restricted academic materials.

  • Provide attentive and responsive service to everyone entering or contacting the office.
  • Maintain confidentiality and respect the privacy of students faculty and staff.
  • Report to scheduled shifts on time and communicate promptly regarding absences or scheduling concerns.
  • Complete assigned duties before engaging in personal activities or coursework.
  • Remain attentive to visitors telephone calls and office needs throughout each shift.
  • Follow University and departmental policies procedures and safety expectations.
  • Demonstrate professionalism integrity reliability and accountability.

Continued employment is contingent upon satisfactory job performance continued Federal Work-Study eligibility and compliance with University and departmental requirements.
