SUMMARY/SCOPE:

Underthe direction of the Registrar the Associate Registrar is primarilyresponsible for services and records of students enrolled in special programsadvising students seeking the bachelors degree in General Studies managementand oversight of transfer articulation and to assist students in other specialstudent categories including early admission dual credit post-graduate andgraduate programs. The Associate Registrar is responsible for assisting theinstitution with compliance to regulations primarily with reporting to NSCVA SACSCOC NCAA DoD MOU etc. and for student services in alignment withthe core values of service integrity and accuracy of student records andreporting.

HSU JOB FAMILY CLASSIFICATION INCLUDES THE FOLLOWING:

ESSENTIAL DUTIES AND RESPONSIBILITIES:These examples do not include all possibletasks & do not limit the assignment of related tasks.

Serve as primary advisorfor students seeking the General Studies major including the coordination ofconcentration areas and individualized degree plans in Colleague.

Assistshort-term transient students with enrollment and registration.

Managethe enrollment of dual-credit students.

ManageAcadeum course share including enrollment approval of courses websitereporting identification of course needs etc.

Assistgraduate and post-graduate students with enrollment and registration.

Responsiblefor transfer credit articulation including management and oversight of transferarticulation platforms updating transfer databases and transfer articulationinquiries.

Responsiblefor administration of Papervision scanning system for storage of all recordsincluding training and support of scanning verifying and security access.

Monitorstudent enrollment and reporting (overload verification etc.).

Monitor data integrity to ensureintegrity and accuracy of academic records.

Assist with census and end of termprocessing including update of student records and the production of academicstanding letters and term honors cards.

Assist Registrar with academiceligibility of student athletes.

AssistRegistrar with reports system set-up and processes.

Superviseand manage student workers including training schedule coordination andtimecard approval.

Compliancereporting (NSC VA SACSCOC NCAA DoD MOU etc.).

Stayinformed of changing federal state and institutional regulations; ensureinstitutional policies and procedures are updated on a regular and consistentbasis and support training as needed for compliance.

Crosstrainin various duties to assure seamless service delivery.

Performother duties and projects as assigned.

SUPERVISORY RESPONSIBILITIES:

Nosupervisor responsibilities except for supervision of student workers.

KNOWLEDGE SKILLS & ABILITIES (Language Mathematical Reasoning and Computer Skills):

LANGUAGE SKILLS: Abilityto read analyze and interpret general business periodicals professionaljournals technical procedures or governmental regulations. Ability to writereports business correspondence and procedure manuals. Ability to effectivelypresent information and respond to questions from groups of managers clientscustomers and the general public.

MATHEMATICAL SKILLS: Ability to add subtract multiply and divide in all units of measureusing whole numberscommon fractions and decimals. Ability to compute rate ratio and percent andto draw and interpret bar graphs.

REASONING ABILITY: Ability to apply common sense understanding to carry outinstructions furnished in written oral or diagram form. Ability to deal withproblems involving several concrete variables in standardized situations.

COMPUTER SKILLS: Toperform this job successfully an individual must have knowledge of MS WordProcessing Software Excel Spreadsheets Internet.

Experience with Colleague IS Systems and Recordsand Informer Reports is preferred.

EDUCATION/EXPERIENCE:

Bachelors degree required. Masters degreepreferred.

Must have the abilityto work independently with focus as demonstrated with previous work experience.

Must have the abilityto communicate and write well. *Competencies will be considered as theapplicants writing sample and those selected for an interview will have theopportunity to validate effective communication during the interviewprocess.

Must be serviceoriented as demonstrated with previous work experience.

Must have the abilityto take initiative and be dependable as per prior work experience referencesetc.

The personfilling this position is expected to be familiar with all aspects of the workof the Registrars Office to gain an understanding of the interconnectedness ofthe work and best practices in records management and reporting. Of particularemphasis is knowledge of federal rules governing student academic records(FERPA). Membership and participation in state regional and nationalorganizations is encouraged (TACRAO SACRAO AACRAO). Therefore preferencewill be given to someone who has prior knowledge of FERPA institutionalpolicies federal state and compliance regulations.

Thisposition is a full-time exempt level staff position.

Aminimum of a 40-hour work week is expected. Irregular hours occasional eveningand weekend work and/or assignments beyond a 40-hour week may be requiredduring peak season during graduation or registration and/or to meet projectdeadlines.

Infrequenttravel may be required on occasion in order to attend training workshops.

Must have and maintain a valid Class C DriversLicense and maintain a clear driving record to be insurable under theuniversity liability policy.

Must be able to drive to complete work assignments onand off campus as needed.

Additional travel may berequired on occasion for training and/or workshops.
