Position Summary:

The Associate IT Project Manager supports the successful delivery of low-complexity technology projects and project workstreams within VUIT by coordinating project activities maintaining delivery artifacts facilitating stakeholder communications and monitoring progress against established plans. Working under close supervision and established project management practices the role supports project governance risk tracking and execution activities while escalating issues appropriately and developing foundational project management expertise. The position contributes to operational effectiveness and stakeholder outcomes through reliable project coordination and consistent application of VUIT project management standards.

Key Functions and Expected Performance:

Project Planning and Execution

  • Supports the planning and execution of low-complexity IT projects and project workstreams.
  • Maintains project schedules action logs milestone tracking and project documentation.
  • Assists in developing project plans status reports meeting materials and implementation documentation.
  • Coordinates project activities and deliverables to support timely achievement of project objectives.

Stakeholder Engagement and Communication

  • Maintains communication with project teams and stakeholders regarding project status timelines decisions and upcoming activities.
  • Coordinates project meetings and documents action items decisions and outcomes.
  • Supports requirements-gathering and stakeholder feedback activities.
  • Escalates stakeholder concerns and unresolved issues to project leadership as appropriate.

Scope Schedule and Delivery Coordination

  • Monitors project tasks milestones and dependencies to identify potential schedule or delivery impacts.
  • Maintains project tracking tools and reporting mechanisms that provide visibility into project status.
  • Coordinates project resources meetings and logistics in support of delivery objectives.
  • Documents scope changes decisions and related impacts in accordance with established processes.

Risk Issue and Governance Support

  • Maintains project risk issue dependency and decision logs.
  • Identifies and communicates potential project risks and obstacles for evaluation and resolution.
  • Supports implementation of approved mitigation and contingency actions.
  • Prepares project status information and governance materials to support project oversight and decision-making.

Project Management Practice Development

  • Applies established project management methodologies tools and templates.
  • Participates in training and development activities to build project management knowledge and skills.
  • Incorporates feedback and lessons learned to improve delivery effectiveness.
  • Contributes to continuous improvement of project coordination and documentation practices.

Working Conditions and Operational Requirements:

Hybrid Work Arrangement:

This position is eligible for a hybrid work schedule combining oncampus and remote work. Employees are expected to be on site at least two days per week and for activities that require inperson presence such as team collaboration service delivery or campus events. Specific onsite expectations are determined in coordination with the supervisor and must align with departmental needs and institutional policy. Remote work privileges may be revoked at any time.

Supervisory Relationships:

This position does not include direct supervisory responsibility but may provide informal guidance or mentorship to colleagues as needed. The role reports administratively and functionally to the IT Project Delivery Manager.

Education and Certifications:

Experience and Skills:

  • 13 yearsAE2 of relevant professional experience supporting technology projects project coordination activities or related work is necessary.

  • Knowledge of project management principles project lifecycle processes and project documentation practices is necessary.

  • Ability to organize and maintain project schedules deliverables risks issues and action items is necessary.

  • Strong written and verbal communication skills with the ability to work effectively with diverse stakeholders is necessary.

  • Proficiency with project management collaboration and reporting tools is necessary.

  • Ability to recognize and appropriately escalate project risks issues and dependencies is necessary.

  • Demonstrated ability to work collaboratively while developing professional project management expertise is necessary.
