Description:
- The Assistant Merchandiser Special Projects Collaboration & Collection plays a critical role in supporting the operational analytical and financial management of the Calvin Klein Collection business and key global special projects. Reporting directly to the Merchandiser this position serves as a central partner across Merchandising Design Product Development Finance Supply Chain Marketing Public Relations and external vendors to ensure seamless execution of seasonal priorities.
- This role requires a highly analytical detail-oriented professional with experience maintaining budgets invoice processing inventory tracking and complex sample logistics. The Assistant Merchandiser will own budget entry processes support bi-monthly budget reviews oversee timely invoice management maintain sample inventory visibility and coordinate domestic and international shipments through logistics partners.
- The ideal candidate brings 2-4 years of merchandising buying planning or business operations experience is comfortable working across multiple systems and tools and thrives in a fast-paced environment managing competing priorities. This individual demonstrates strong problem-solving skills a proactive mindset and a willingness to jump into evolving business needs while driving operational excellence across the Special Projects Collaboration and Collection business.
Responsibilities:
Budget Management & Financial Analysis
- Own day-to-day budget tracking and reconciliation across Collection and Special Projects budgets.
- Manage invoice processing and payment timelines partnering closely with Finance vendors and cross-functional teams to ensure timely and accurate payment execution.
- Reconcile budget actuals against forecasts and identify variances and risks.
- Coordinate bi-monthly budget reviews providing clear visibility into spend and outstanding commitments.
- Maintain detailed financial documentation to support audits and budget planning exercises.
Sample & Inventory Management
- Own seasonal sample inventory management ensuring accurate tracking organization and visibility across all Collection and Special Projects samples.
- Manage sample organization and inventory through Launchmetrics and internal tracking systems.
- Partner with Design Product Development Sourcing PR Marketing and external stakeholders to coordinate sample requests and movement.
- Establish and maintain best practices for sample archiving inventory audits and sample lifecycle management.
- Track sample flow from development through market and post-market activities to ensure accountability and accuracy.
Logistics & Shipment Coordination
- Coordinate domestic and international sample shipments through DHL WorldNet FedEx and other logistics providers.
- Manage shipping documentation customs requirements carnet coordination and shipment tracking to ensure successful delivery timelines.
- Partner with internal trade compliance teams and external logistics providers to proactively resolve shipment issues and mitigate delays.
- Maintain comprehensive shipment records and reporting documentation.
Market Preparation & Execution
- Lead development and maintenance of global market tools and merchandising materials including linesheets pricing tools line plans presentations and seasonal reporting.
- Support all phases of market preparation and execution:
Pre-Market
- Coordinate sample readiness and inventory accuracy.
- Ensure all market tools presentations and materials are complete and accurate.
- Update show and market invite trackers and with attendees confirmation.
During Market
- Maintain calendar for market appointments sell-in meetings stakeholder communications and updates.
- Track feedback business opportunities and follow-up actions.
Post-Market
- Reconcile order confirmations and market feedback.
- Develop recap analyses and reporting to support future planning and assortment recommendations.
Cross-Functional Project Management
- Manage multiple concurrent projects across Collection and Special Projects while maintaining strong attention to detail and deadlines.
- Serve as a key point of contact between Merchandising and cross-functional partners to ensure alignment on priorities timelines and deliverables.
- Participate in seasonal milestone meetings sample reviews budget reviews and project status meetings.
- Proactively identify challenges propose solutions and drive issues to resolution.
- Support evolving business priorities and ad hoc initiatives with a positive team-oriented approach.
Requirements:
- Bachelors degree in Merchandising Business Administration Finance Supply Chain or a related field preferred.
- 2-4 years of experience in Merchandising Buying Planning Business Operations Retail Analytics Product Merchandising or a related field.
- Experience managing budget entry invoice reconciliation and expense tracking.
- Experience supporting cross-functional projects within a fast-paced retail fashion or consumer products environment.
- Experience managing inventory sample operations or product lifecycle processes preferred.
- Experience coordinating domestic and international shipments and logistics preferred.
