POSITION SUMMARY
The Assistant Facilities Manager supports the day-to-day management and operation of assigned Sony PlayStation facilities in San Diego and Orange County. Working under the direction of facilities leadership this role coordinates facility services engineering and maintenance activities vendors work orders financial administration documentation and workplace needs to support safe reliable and well-maintained facilities.
The Assistant Facilities Manager works closely with Sony PlayStation stakeholders Cushman & Wakefield facilities and engineering personnel vendors and property management teams to provide responsive service and ensure operational needs are effectively coordinated and resolved. This role requires strong organization communication customer service and problem-solving skills with the ability to manage multiple priorities in a fast-paced environment.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Support the day-to-day operations of assigned Sony PlayStation facilities including janitorial life-safety engineering site services and general maintenance ensuring services are carried out in accordance with Cushman & Wakefield policies and client requirements.
Under the direction of facilities leadership respond promptly and professionally to facility-related requests from Sony PlayStation stakeholders and employees including maintenance repairs cleaning workplace conditions and other operational needs.
Coordinate with facilities and engineering personnel to support daily operational priorities preventive maintenance corrective maintenance service requests and facility needs.
Proactively inspect facilities building systems rooms common areas and workplace conditions to identify maintenance needs safety concerns service deficiencies or other issues and coordinate or escalate corrective actions as appropriate.
Support preventive and corrective maintenance programs relating to the interior and exterior condition appearance infrastructure and operation of assigned facilities.
Coordinate third-party vendors and service providers including scheduling site access work activities service requests proposals and completion of contracted services.
Monitor vendor service delivery and communicate performance issues service deficiencies or scope concerns to facilities leadership.
Review vendor contracts scopes of work proposals and pricing as directed and assist with competitive bidding and sourcing activities when required.
Review invoices against approved proposals purchase orders contracts and established pricing and identify discrepancies prior to processing.
Support CMMS/work-order management activities including creating assigning tracking updating and closing work orders and ensuring requests are completed within established service expectations.
Monitor open work orders and follow up with facilities personnel and vendors to ensure outstanding issues are progressed through completion.
Compile and maintain site-specific documentation operating procedures inspection reports compliance records vendor documentation Certificates of Insurance drawings maintenance records and other required facility documentation.
Assist with the preparation of budgets forecasts accruals financial reports contracts expenditures purchase orders and invoice processing related to assigned facilities.
Track facility expenses and provide information necessary to support financial reporting budget management forecasting and variance analysis.
Assist in providing information and reporting necessary for annual capital planning and multi-year facility plans including maintenance needs equipment lifecycle replacement facility improvements deferred maintenance and cost-reduction initiatives.
Collect analyze and prepare facility data work-order metrics KPIs inspection results vendor information and other operational reporting necessary to assess facility performance.
Assist with regular site walks and inspections and ensure identified deficiencies are documented assigned tracked and followed through to resolution.
Coordinate with landlords and property management teams regarding base-building services repairs maintenance access and other property-related matters as directed.
Partner with Security IT EH&S Project Management Workplace facilities personnel engineering teams and other stakeholders to coordinate activities and support business needs.
Support facility projects renovations moves equipment installations events and other workplace initiatives through scheduling vendor coordination site access communication and follow-up.
Assist with planned maintenance shutdowns repairs and other activities that may impact building operations including after-hours or weekend activities when required.
Support emergency response incident management business continuity and facility escalation procedures and ensure significant issues are promptly communicated to facilities leadership.
Maintain familiarity with applicable management agreements vendor agreements scopes of work policies procedures and client-specific requirements.
Monitor vendor compliance with applicable insurance safety access regulatory and operational requirements and maintain required documentation.
Identify opportunities to improve facility operations service delivery workplace conditions vendor performance processes and cost efficiency and communicate recommendations to facilities leadership.
Build effective working relationships with Sony PlayStation stakeholders employees facilities and engineering personnel vendors landlords and other partners supporting assigned facilities.
Perform other facilities management responsibilities as required to support assigned Sony PlayStation locations and business operations.

IMPORTANT EDUCATION
Associates degree in Facilities Management Building Management Business Administration Engineering or another related field required.
Bachelors degree preferred.
IMPORTANT EXPERIENCE
Minimum of 35 years of relevant experience preferably within facilities management corporate real estate commercial real estate or a campus environment.
Experience supporting day-to-day facility or building operations.
Experience with maintenance construction engineering and multiple facets of property operations and building management preferred.
Experience coordinating vendors contractors engineering personnel or facility service providers.
Experience working directly with clients employees building occupants or business stakeholders in a service-oriented environment preferred.
Experience reviewing vendor proposals invoices purchase orders and scopes of work preferred.
Experience supporting facility financial activities including budgeting forecasting accruals purchase orders invoice processing expense tracking or financial reporting preferred.
CMMS/work-order management experience preferred.
Experience supporting facility projects renovations moves maintenance programs or equipment replacement initiatives preferred.
Experience with critical building systems or business-critical environments desired.
Demonstrated ability to organize and manage multiple work orders vendors projects deadlines and operational priorities simultaneously.
Demonstrated ability to take ownership of assigned responsibilities follow issues through resolution and appropriately escalate when additional support or direction is required.
ADDITIONAL ELIGIBILITY QUALIFICATIONS
Certified Facility Manager (CFM) International Facility Management Association (IFMA) Building Owners and Managers Association (BOMA) or other relevant facilities engineering business or technical certifications are a plus.
Ability to read and understand construction specifications drawings and blueprints.
Ability to understand vendor agreements scopes of work service contracts and contract requirements.
Working knowledge of Building Management Systems (BMS) building infrastructure maintenance programs and facility monitoring systems preferred.
Strong computer and systems knowledge including proficiency with Microsoft Office applications such as Excel Word PowerPoint Outlook and Teams.
Working knowledge of financial processes including purchase orders invoices budgeting forecasting accruals and expense tracking.
Strong organizational and follow-through skills with the ability to manage multiple priorities in a fast-paced environment.
Strong interpersonal skills and the ability to communicate effectively with client stakeholders employees facilities personnel engineers vendors landlords and leadership.
WORK ENVIRONMENT
This job operates primarily in a professional office and corporate campus environment. The role routinely uses standard office equipment and requires regular interaction with building systems facilities personnel engineering teams vendors and client stakeholders.
The position may require travel between Sony PlayStation locations in San Diego and Orange County and may occasionally require work outside of normal business hours to support maintenance activities projects emergencies shutdowns or other operational requirements.
