Job Summary
Advancement Services and Data Systems Manager
Coe College is seeking qualified candidates for the position of Advancement Services and Data Systems Manager. This role oversees and manages the staff and operations of the Advancement Services Department and leads the overall planning integration and administration of the offices information systems. This position provides day-to-day leadership coaching workload management and performance oversight for the Records and Information Specialist and the Gifts Specialist. This position also serves as the primary analyst and administrator for the offices instance of The Raisers Edge NXT to build deploy and maintain data information and reports that enhance management and decision-making for the team as it works toward fundraising and engagement objectives. The Advancement Services and Data Systems Manager will be an experienced data professional with extensive knowledge of relational databases specifically in the areas of reporting data entry ex/importing and general database configuration security training and maintenance.
Primary Responsibilities:
- Manage the administration of the database including database performance and integration with Almabase and other third-party platforms; synchronizing and maintaining data flow; database configuration and maintenance of bulk imports/exports; global changes field and table build out; new funds and appeals; business rules and workflows; e-commerce/credit card processing and oversee all aspects of the general health and integrity of Advancement data.
- Supervise the Records and Information Specialist and Gifts Specialist by assigning work establishing priorities monitoring workflow coaching employees reviewing work for quality and accuracy and supporting employee development while ensuring timely completion of departmental objectives.
- Direct the daily operations of Advancement Services data management functions balancing workloads between staff members while ensuring compliance with institutional policies data governance standards gift processing procedures departmental operation and best practices for donor information management.
- Work with fellow Advancement team members to design build test and troubleshoot their respective integrations and data forms (including but not limited to online giving pages event registration pages and other online forms that collect data and e-commerce).
- Oversee database security including new user set up and user access security; configure access for new Advancement staff of The Raisers Edge NXT database and lead user training technology adoption and professional development initiatives related to Advancement data systems establishing best practices and ensuring consistent use across the division.
- Participate in the recruitment onboarding performance management coaching and evaluation of direct reports and provide recommendations regarding hiring promotions corrective action and other personnel decisions.
- Cultivate relationships with Coes IT department and serve as their primary Advancement contact for interdepartmental and inter-system projects.
- Oversee data requests i.e. reports lists labels solicitations etc. from both internal and external offices creating and generating the requested queries and
- delegating these work assignments and projects to the Records & Information Specialist as appropriate.
- Oversee gift administration and ensure the accuracy of all gift transactions including ongoing communication with the Business Office to confirm the College is following the guidelines of the auditors; review all memos of understanding (MOUs) and gift agreements prior to final authorization or submission for compliance and clarity.
- Evaluate departmental business processes and implement operational improvements that enhance data integrity efficiency compliance adherence to CASE standards and reporting capabilities and work with team members to ensure the documentation of departmental processes and procedures.
- Create and/or prepare various reports and dashboards including but not limited to donor segmentation financial reports fundraising progress prospect data Annual Report ACM surveys Business Office and auditors etc.
- Other duties as assigned including only occasional nights and weekends to assist Advancement events (e.g. Homecoming Day of Giving).
Qualifications:
- Bachelors degree with 3-5 years of managerial experience or equivalent combination of education and experience.
- 3 years of experience in data management and reporting preferably in a higher education and/or fundraising environment.
- Knowledge of Blackbauds The Raisers Edge NXT or equivalent is preferred. Additional Blackbaud product experience is a plus: Merchant Services Target Analytics and Importomatic. Experience with 3rd party vendor solutions systems integration and synchronization.
