We are seeking an Administrative Support Specialist
This is an on-site role in San Diego CA
Duties:
ESN will provide the Commander Naval Air Force Pacific (Code N43) an Administrative Support specialist to work in the front office of Ships Material Directorate. Executive Assistant (EA) experience is viewed as a more favorable candidate. Must be able to function in a Navy administrative environment knowledgeable of Navy correspondence terms and processes. Candidate must organize office visits including (VIP) meet greet and escorting of visiting personnel. Direct all calls and visitors with an expert understanding of Naval Protocol.
Qualifications/Education:
Degree in Business Administration desired or years of experience working in administration offices within the Navy. Professional office management skills are mandatory. Manage the administration of the office to include accurate record keeping civilian and military awards processing FITREP/CHIEFEVAL/EVALUATION processing ordering office supplies process Navy correspondence and Naval Defense Messages. Manage and maintain Personnel Data which include Staff Rosters Officer/Enlisted Personnel tracking and recall bill. Must perform typing at a minimum speed of 40 words per minute.
Skills and Abilities:
Familiar with Joint Personnel Status (JPERSTAT) and Individual Personnel Tempo (ITEMPO) reports. (DTS) by performing as a Non-DTS Entry Agent (NDEA). Arrangements and clearing travel schedules for the ACOS and his Deputy ACOS. Familiar with Personnel Security Representative liaison requesting and tracking JPAS. Requests. Set up secure and non-secure Video Teleconference (VTC) meetings and maintain three departmental teleconference phone line availability schedules. Familiar with SharePoint Website administration.
Other Requirements:
Prepare and transmit accounting data travel budget cost estimates and amended budget records for Carrier Team One Ships Force travel and ACOS. Reconcile the approved annual budget. Compose technical documentation (reports spreadsheets and presentations) utilizing typical Microsoft products (Word Excel and PowerPoint).
