Job Summary
The Developmental Disabilities Services Division (DDSD) is seeking a highly motivated organized and tech-savvy individual to join our newly formed operations unit.
DDSD oversees services and supports to Vermonters with intellectual or developmental disabilities. Our divisions mission is to see that all Vermonters with disabilities are integrated into the community and have the opportunity to live full and meaningful lives.
This position will serve as the main administrative support position for DDSD including staff and provides direct support to the Division Director. Examples of work includes:
- Records management
- IT coordination
- Scheduling and managing calendars
- Taking minutes for the State Program Standing Committee
- Supporting our case management system
- Processing of invoices
- Providing grant and contract support
- Supporting special projects
The ideal candidate will be able to demonstrate that they can communicate effectively across different audiences are able to instill and maintain trusting relationships and confidentiality possess the ability to shift priorities quickly and effectively is observant and asks intuitive questions can work independently and as part of a team and can be self-directed with the willingness to offer support.
We are hiring in this position during a time of high-volume change across the system of care in service delivery payment and operationally. This individual must be able to learn swiftly and with ease and demonstrate a continuous improvement mindset.

Work is performed in a standard office setting.
High School diploma or equivalent AND four (4) years or more of experience providing administrative-level support to a business or organization INCLUDING one (1) year or more in an accounting or budgeting function and experience as a supervisor of clerical or administrative staff.
OR
One year of full-time college level study in accounting business or public administration office administration or a related field AND three (3) years or more of experience providing administrative-level support to a business or organization INCLUDING one (1) year or more in an accounting or budgeting function and experience as a supervisor of clerical or administrative staff.
OR
Two years of full-time college level study OR an associates degree or higher in accounting business or public administration office administration or a related field AND two (2) years or more of experience providing administrative-level support to a business or organization INCLUDING one (1) year or more in an accounting or budgeting function and experience as a supervisor of clerical or administrative staff.
OR
Three years of full-time college level study in accounting business or public administration office administration or a related field AND one (1) year or more of experience providing administrative-level support to a business or organization INCLUDING one (1) year or more in an accounting or budgeting function and experience as a supervisor of clerical or administrative staff.
OR
Four years of full-time college level study OR a bachelors degree or higher in accounting business or public administration office administration or a related field.
OR
One (1) year or more as an Administrative Services Coordinator II with the State of Vermont
NOTE: Only administrative work experience is qualifying. Administrative support includes those functions which keep the organization running or provide the resources for others to provide the programmatic work (e.g. accounting budget management grant administration finance human resources payroll purchasing or space management).
For some positions experience working with the VISION system (VISION is the State of Vermont PeopleSoft financial management system) may be required.
