Job Summary

The Ohio Adjutant Generals Department is seeking a highly skilled service-minded professional to serve as an Administrative Professional 4 (AP 4) to support the executive team within the Adjutant Generals this role the AP 4 will perform executive-level administrative support to ensure efficient functioning of the office.

The preferred candidate will possess strong communications and organizational skills. Additionally they will display high levels of professionalism and customer service.

Key Responsibilities:

  • Coordinate executive-level administrative activities assignments and sucspense actions

  • Prepare review and coordinate executive correspondence reports briefings and supporting information

  • Manage complex calendars meetings briefings travel and changing executive priorities

  • Communicate professionally with state federal military and external stakeholders

  • Handle sensitive phone calls emails records and confidential information with discretion

  • Coordinate follow up on requests to ensure assignments are completed accurately and timely

  • Support high-visibility meetings and ensure leadership has the information and materials needed to be prepared

  • Serve as backup to The Adjutant Generals Executive Administrator

  • Identify opportunities to improve administrative processes and executive-office workflow.

Minimum qualifications for this classification include one of the following:

  • Have least 30 months secretarial/administrative professional field.

  • Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college AND at least 12 mos. secretarial/administrative professional field.

  • Have at least 12 mos. exp. as Administrative Professional 2 with the State of Ohio.

  • The equivalent of Minimum Class Qualifications For Employment noted above.

Preferred qualifications:

  • Previous experience working with or supporting military operations and/or high-level executive or governmental staff.

  • Can demonstrate an advanced skill level with Microsoft Office suite Adobe and/or similar programs.

  • Previous experience handling sensitive and confidential information.

  • Previous experience editing and proofreading complex documents for accuracy.

Travel is required as needed. Must provide own transportation. Or in order to operate a state vehicle you must have a valid drivers license from state of residence.

Pursuant to Homeland Security Presidential Directive - 12 (HSPD 12) the final candidate selected for this position will be required to successfully complete a National Agency Check Investigation (NACI) to secure employment.

Salary Information:

This position is assigned as a pay range 10 of the State of Ohios E1 pay schedule with a starting hourly rate of $27.73 and current range up to $34.35 per hour. Starting pay is usually at the minimum of the range unless otherwise required by law or union contract or unless the selected candidates qualifications warrant consideration above the minimum.

With continued employment and satisfactory performance employees generally advance to the next pay step after six (6) months and then annually thereafter. Cost-of-living adjustments are typically applied on July 1.
