GENERAL PURPOSE
The Administrative Coordinator preforms a variety of administrative duties that facilitate the day-to-day operations of a function program and/or department. Assists in program planning and development; interprets monitors and analyzes information regarding operating policies and procedures. May administer budgets and coordinates academic and/or staff personnel matters. Resolves problems that have a significant impact on the overcall goals of the department. Works directly with external constituents (i.e. executives senior faculty principals) and internal staff to resolve routine and non-routine issues.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Serves as the first point of contact for both internal and external constituents. Resolves issues and/or directs individuals to the correct person or resource within the organization with minimal supervision.
- Plans and schedules events prepares reports and maintains files and databases. Prepares correspondence schedules and confirms appointments shares documents and other materials and arranges travel.
- Manages the schedule for the department or unit including prioritizing requests and resolving scheduling conflicts. Makes suggestions to more efficiently run the department of unit. Initiates schedules and/or monitors the processing of hiring requests budget transfers contracts requisitions supplies and room reservation and setup.
- Writes and edits internal communications. May assist supervisor in the development of public materials (e.g. brochures websites advertisements).
- May lead a team of non-exempt employees to achieve a desired outcome. Manages work stream for the group and ensures achievement of objectives.
REQUIRED MINIMUM QUALIFICATIONS
- High School diploma or GED
- 5 to 8 years of work related experience
- Microsoft Office (Outlook Word PowerPoint Excel)
RESPONSIBILITY FOR PUBLIC CONTACT
- Daily contact requiring courtesy discretion and sound judgment.
SALARY INFORMATION
When determining the salary offer for a new employee Molloy considers several key characteristics such as job knowledge skills and experience as well as internal and external equity. The hiring hourly rate for this position is $25.00. This hourly rate represents the Universitys good faith and reasonable estimate of the range of compensation at the time of posting.
