The Administrative Coordinator embraces and demonstrates loyalty to the mission of SPIN by effectively supporting and assisting in the operations of SPIN departments.


Accountabilities:

  1. Demonstrate knowledge and awareness of and sensitivity to cultural religious and racial disability gender and sexual orientation issues through daily practices and interactions.
  2. Maintain standards of confidentiality and ethical practice at all times and is conscious of these practices.
  3. Demonstrate positive and professional interactions at all times using person-first effective and sensitive communication skills to build rapport and assure mutual understanding.
  4. Demonstrate and understand departmental policies and procedures and how they are used to protect and support the needs of the children their families and co-workers.
  5. Interacts with and educates community members and other organizations when relevant to the child and/or familys needs.
  6. Establishes and maintains a safe and healthy environment and promotes the physical and emotional well-being of all through person-centered supports.
  7. Communicates in a respectful professional person-centered manner for the accurate sharing and understanding of information through non-verbal verbal and written documentation methods that support the delivery of quality services.
  8. Works in conjunction and as a backup with other Administrative Coordinators to ensure efficient and effective workflow systems across all assigned programs and departments and with other agency programs and departments.
  9. Performs receptionist duties including but not limited to greeting visitors and customers maintaining sign in sheets answering phones etc.
  10. Performs and coordinates duties assigned for the operation of the program and/or department as assigned by supervisor.
  11. Work independently within the scope of your authority
  12. Respond in a timely manner (expected within one business day) to emails and phone calls.
  13. Maintains accurate data in all databases to ensure that children we support receive the services listed on their plan. Has a working knowledge of program and department computer systems. Completes data processing printing and maintenance of word processing and spreadsheet documents. Maintains tracking systems and generates reports on a regular basis.
  14. Other duties as needed and/or requested

Your role on the dream team: Administrative Coordinator in Children Services

As an Administrative Coordinator for SPIN Inc. you would be responsible for:

  • Completes data entry that allows program personnel to track service delivery.
  • Has a working knowledge of program and department computer systems. Completes data processing printing and maintenance of word processing and spreadsheet documents.
  • Maintains tracking systems and generates reports on a regular basis.
  • Maintains central and inactive program and department files and records. Assists distributes and maintains program and department documentation.
  • Maintains a working knowledge of both day and evening activities and relays accurate customer service information as required. Responsible for all aspects of consumer tracking i.e.: registration and/or enrollment into departments programs tracking usage of departments services rendered and tracking of revenue generated and collected from consumer services.
  • Maintains accurate records learns and remains current with appropriate documentation/data systems by collecting compiling and evaluating data and submitting records to appropriate sources in a timely fashion.
  • Handles and/or assists in the overall responsibilities of the departments mail center including office supplies and equipment orders and inventory lists as needed on a monthly basis.
  • Works in conjunction and as a backup with other Administrative Coordinators to ensure efficient and effective workflow systems across all assigned programs and departments and with other agency programs and departments.
  • Performs receptionist duties including but not limited to greeting visitors and customers maintaining sign in sheets answering phones etc.


The Tools You Need:

  • High School Diploma / GED;
  • Proficient in Microsoft Office 365
  • Must be at least 18 years of age;
  • Must have a valid PA/NJ State ID or Drivers License and insurance necessary
  • Must be available to attend the 2-week hourly paid-training program.
  • Excellent organized and management skills
  • High-level communication skills are a must. You will interact with children families school and daycare personnel other external team members and other SPIN employees in person via phone and email.
