Job Summary

What Your Day Will Look Like:

As an Administrative Coordinator you will serve as the first point of contact for clients guests and employees creating a welcoming and professional office environment. Key responsibilities include greeting and assisting in-person visitors answering and directing incoming phone calls managing and coordinating office calendars and scheduling needs maintaining accurate records through data entry and administrative reporting and supporting daily office operations.

You will also be responsible for preparing and setting up workstations for new hires ensuring they have the equipment resources and access needed for a successful onboarding experience. Additional duties may include coordinating office communications organizing administrative processes and providing general operational support to staff and leadership.

What Youll Do:

  • Oversee general administrative needs including but not limited to shipping office and breakroom supply orders ordering/canceling office access cards and keys office maintenance and/or repairs.
  • Coordinate office events schedule meetings and run local errands for puget sound area offices.
  • Work with discipline leads and corporate teams to coordinate and set up office events meetings happy hours etc.
  • Receive sort and distribute daily office mail.
  • Maintain electronic and paper files records and reports.
  • Back-up answering calls on multi-line phone.
  • Assist with travel bookings including airfare hotel and ground transportation as needed.
  • Support regional and corporate fleet managers by coordinating fleet vehicle deliveries fleet parking needs scheduling regular and emergency repairs & maintenance. Must be able to drive up to a full size pick-up trucks in the local fleet various maintenance appointments.
  • Assist with miscellaneous projects and tasks as requested by office colleagues.

What Youll Need:

  • High school diploma or equivalent.
  • 2 years of administrative support experience.
  • Must have a valid drivers license with a good driving record.
  • Proficiency in MS Office Suite: Word Excel PowerPoint and Outlook software.
  • This office job primarily operates in a professional office environment and routinely requires the use of standard office equipment such as computers phones and copy machines. May occasionally be exposed to noise.
  • While performing the duties of this job physical demands of the employee may include constant sitting talking hearing repetitive motions and occasional standing moving reaching handling grasping feeling and coordination. This job will rarely require lifting carrying pushing or pulling over to 35 lbs.
