Burial Beer Co. is looking for an Administrative Coordinator to join our team and ensure smooth day-to-day administrative financial and operational support across the company. This role bridges accounting office management IT coordination and employee experience helping to keep our systems processes and teams running efficiently.

What Youll Do

Employee Experience & Office Culture

  • Facilitate Employee Appreciation Programs
  • Support a positive organized and welcoming office environment

Accounting & Financial Administration

  • Enter Accounts Payable (A/P) into QuickBooks
  • Record administrative expenses in QuickBooks
  • Enter credit card expenses into Nexonia
  • Perform monthly bank reconciliations
  • Assist with payroll support tasks
  • Prepare excise and sales tax documentation for Accounting Manager review
  • Input Music Settlements into Quickbooks
  • Issue 1099 forms annually

Office & Administrative Operations

  • Executes office operations including: cleaning schedules and office supply and pantry ordering and inventory
  • Monitor and respond to Google Workspace inbox ()
  • Coordinate weekly administrative errands such as: mail pickup cash retrieval from music venue bank deposits post office runs

IT & Systems Administration

  • Administer basic IT operations and vendor coordination
  • Maintain employee email access via Google Workspace
  • Oversee computer lifecycle: issuing tracking agreements and returns
  • Maintain company phone lines through Verizon
  • Maintain user access and permissions across systems

Travel & Logistics Coordination

  • Communicate travel arrangements for staff
  • Execute per diem allocations and tracking
  • Ensure cost efficiency and adherence to company policies

Compliance & Certifications

  • Track and maintain annual company certification requirements
  • Ensure deadlines and documentation are completed accurately and on time


What Success Looks Like

Technical

  • Experience with accounting and expense software (QuickBooks Nexonia)
  • Proficiency in Google Workspace tools
  • Ability to manage basic IT systems and vendors
  • Basic accounting knowledge (A/P A/R reconciliations)
  • High level of accuracy in data entry and reporting

Leadership

  • Proactively identifies gaps and inefficiencies
  • Takes ownership of tasks from start to completion
  • Resourceful in resolving administrative and operational issues
  • Comfortable shifting between administrative financial and operational tasks
  • Able to support a fast-paced growing organization

  • Ability to prioritize and manage recurring deadlines (monthly weekly annual)

Requirements

Who Were Looking For

  • Highly organized and detail-oriented with a track record of accuracy in administrative and financial tasks
  • Experienced in A/P A/R reconciliations or similar accounting functions ideally using tools like QuickBooks
  • Self-directed and dependable able to own recurring responsibilities and meet deadlines without close oversight
  • Trustworthy and discreet when handling sensitive financial employee and company information
  • Clear and responsive communicator comfortable managing shared inboxes and cross-functional coordination
  • Comfortable operating across systems such as Google Workspace and learning new tools as needed
  • Proactive and resourceful with the ability to identify inefficiencies and improve processes
  • Service-oriented and adaptable willing to support a wide range of administrative operational and team needs


Physical Requirements

  • Frequent computer and desk work - prolonged periods of sitting and working on a computer
  • Must be able to lift at least 25 pounds.
  • Must be able to bend over twist kneel stand.
  • Ability to communicate effectively both in person and via digital platforms requiring clear speech and hearing abilities.

Salary Description
$55k - $60k per year (DOE)
