Job Summary

New England Mechanical Services Inc. is seeking an Administrative Sales Assistant to provide administrative support to sales teams across multiple branch offices ensuring the timely and accurate completion of administrative processes for central office operations. This role is responsible for preparing proposal letters assembling booking packages processing sales lead incentives and tracking additional work requests within the companys ERP system. The position also supports the sales organization by maintaining accurate customer and sales data within the CRM system.

Essential Duties & Responsibilities
  • Prepare and process proposal letters and sales documentation.
  • Assemble and submit booking packages for central office processing.
  • Track and manage sales lead incentive documentation.
  • Monitor and update additional work requisitions in the ERP system.
  • Enter update and maintain accurate customer and sales information in the CRM system.
  • Provide administrative support to sales personnel across multiple branch locations.
  • Ensure accuracy completeness and timeliness of all administrative records and reports.
  • Communicate effectively with internal teams to support sales operations and customer requirements.
  • Perform additional administrative duties as assigned.
Qualifications
  • 2 to 3 years of prior administrative or office experience required.
  • Associate degree (2-year college degree) preferred.
  • Proficiency in Microsoft Office applications including Word Excel Outlook and PowerPoint.
  • Strong organizational and time-management skills.
  • High attention to detail and accuracy.
  • Self-motivated with the ability to work independently and manage multiple priorities.
  • Excellent verbal and written communication skills.
  • Strong follow-up and customer service skills.
  • Experience with CRM and ERP systems preferred.
