• Maintain phone coverage and greet visitors and students take messages relay information and answer questions within scope of knowledge and authority.
• Perform word processing duties such as correspondence meeting minutes reports grants forms examinations and memos. Edit work for accuracy format spelling punctuation and construction. Assure timely completion of all material.
• Organize and maintain a filing system for all programs faculty and internal student records assuring rapid retrieval of all materials.
• Prepare various reports including gathering data and setting up format.
• Maintain computer database consisting of student records test pools/keys graduate surveys handbooks and orientation materials using selected College software.
• Review and route incoming mail for appropriate distribution and action.
• Process purchase requisitions and requests for payment. Assist in monitoring department budgets and expenditures.
• Arrange conferences meetings and travel arrangements as required notify participants and prepare required materials.
• Assist in supervision of student workers in area.
• Other clerical duties as assigned.

• High School Diploma or GED required.

• Previous experience in an administrative office support role requiring strong customer service and interpersonal skills.
• Ability to interact professionally with students faculty staff and visitors.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word Excel Outlook and PowerPoint).
• Experience preparing correspondence reports meeting minutes and other business documents.
• Strong proofreading editing and data-entry skills with attention to detail and accuracy.
• Ability to organize maintain and retrieve confidential files and records.
• Experience working with databases and computerized recordkeeping systems.
• Ability to prioritize multiple tasks meet deadlines and work independently with minimal supervision.
• Experience processing purchase requisitions invoices payment requests or budget-related transactions preferred.
• Ability to coordinate meetings events and travel arrangements.
• Demonstrated organizational and problem-solving skills.
• Experience supervising training or providing guidance to student workers or support staff is a plus.
• Proven ability to collaborate effectively with individuals from varied backgrounds.

• Please note this is a Grade 6 position in the Clerical & Technical Union.
• The starting hourly rate is $27.69.
• In addition you are eligible for an additional .75 per hour if you have a bachelors degree or .35 per hour if you have an associate degree.
• This is a fulltime position with a 35hour workweek.
• This position requires the successful completion of a Microsoft Office skills test proofreading test and background check.
