Front Office Support Specialist

Position Overview:

We are seeking dependable and highly organized Front Office Support Specialist to temporarily support a 24/7 workforce housing facility serving a data center project.

This role is central to the daily operations of the camp serving as the primary point of contact for workers contractors vendors and visitors. The ideal candidate is comfortable working in a fast-paced structured environment where accuracy professionalism and strong communication are essential.

Because this is a 24/7 operational site candidates must be fully flexible and willing to work any shift including nights weekends and holidays. Please note this is a temporary position

Key Responsibilities/Essential Functions:

Workforce & Resident Support

• Check in and check out workers and contractors
• Assign and track room assignments and housing occupancy
• Store and manage luggage for arriving and departing guests as needed
• Provide orientation information to new arrivals
• Assist residents with general support needs during their stay

Administrative & Operational Support

• Maintain accurate occupancy records and housing logs
• Track arrivals departures and room assignments
• Prepare daily reports on occupancy staffing and activity as needed
• Support use of site management system for tracking occupancy and access

Front Desk & Coordination Duties

• Serve as the first point of contact for the facility
• Answer and route phone calls emails and inquiries
• Assist with package handling and mail distribution
• Support general front desk operations and guest services

Compliance & Security Support

• Verify access credentials for entry into the facility
• Maintain visitor and contractor logs
• Follow all site security and access control procedures
• Escalate issues or incidents to appropriate personnel
• Maintain confidentiality of sensitive workforce and operational information

Required Qualifications & Core Competencies:

• High school diploma or equivalent
• 2 years of administrative receptionist customer service hospitality or office support experience
• Strong communication and interpersonal skills
• Ability to multitask and stay organized in a high-volume environment
• Proficiency in Microsoft Office (Word Excel Outlook)
• Ability to pass a background check
• Ability to work on-site full time

Desired Skills:

• Experience in workforce housing construction support hotel/hospitality military or industrial site operations
• Experience supporting a 24/7 facility or shift-based environment
• Familiarity with access control or visitor management systems

Conditions of Employment:

• Employment is contingent upon verification of legal authorization to work in the United States and successful completion of a background investigation.
• Anovaeon operates 24 hours/365 days and requires flexibility to work additional hours nights weekends and holidays

Physical Requirements:

• Ability to sit for extended periods while completing documentation and reports.
• Visual acuity sufficient for computer work and to review documentation.
• Auditory ability sufficient to communicate effectively and respond to staff visitors and vendors.
• Must be able to read write and communicate effectively in English to interact with staff visitors and vendors and to complete required documentation accurately.

• Fully onsite position
• Fast-paced high-tempo operational environment requiring composure attention to detail cultural sensitivity and professionalism at all times.
