This is an 8 hour per day 260 days per year Administrative Assistant III - Secondary Education position with benefits at the District Office. Anticipated start date is August 31 2026.

Hours for this position are 8:00 a.m. - 5:00 p.m.

Hourly salary ranges listed are 2025-26 rates.

JOB TITLE:Administrative Assistant III -Secondary Education

CLASSIFICATION: Office/Accounting - MACP

REPORTS TO: Executive Director of Secondary Education

JOB SUMMARY:

The Administrative Assistant III is responsible forsupporting the Executive Director of Secondary Education in monitoring and implementing various programs and providing services to students and parents.

PERFORMANCE RESPONSIBILITIES AND ESSENTIAL FUNCTIONS:

  • Provide clerical services including letter composition; schedule appointments and meetings; maintain department budget and grants; prepare purchase orders; order supplies and maintain inventory; sort and distribute mail and interoffice mail deliveries daily.
  • Perform data entry; copy collate sort and file documents including the use of ParentSquare and the District website.
  • Maintain the department site on the District website and SharePoint.
  • Serve as a liaison between staff parents principals administrators and other individuals communicating with the Executive Director of Secondary Education.
  • Assist Executive Directors and Assistant Superintendent in processing in-district student school transfers and out-of-district Choice Transfers.
  • Provide information for disciplinary hearings.
  • Support Districts homeschool program by processing and maintaining paperwork and annual state reporting.
  • Support school teams by monitoring compliance and renewal dates for 504 plans.
  • Support students families and school staff for participation in Graduation Alliance.
  • Establish and maintain professional interactions with students staff parents and the public. Respond to and assist with student parent and staff needs.
  • Develop and maintain an organized office including record management an effective filing system maintain accessibility of information prioritize tasks and complete tasks in a timely manner and provide for record maintenance and retention management in compliance with district policy and state guidelines.
  • Prepare district reports for the school board Superintendent and state.
  • Comply with District Policies.
  • Perform other duties as required or assigned by the supervisor.

JOB REQUIREMENTS: MINIMUM QUALIFICATIONS

Skills Knowledge and Abilities required to satisfactorily perform the functions of the job.

  • Knowledge of and ability to use various software programs related to the job responsibilities including Qmlativ Outlook Excel Word SharePoint OneDrive and other Microsoft Office software programs.
  • Ability to complete multiple tasks simultaneously with frequent interruptions.
  • Ability to maintain consistent presence at assigned worksite and regularly work assigned hours.
  • Knowledge of and ability to use our student information/student record management system.
  • Skill and ability to effectively communicate orally and in written form.
  • Ability to exercise discretion and maintain trust and confidentiality.

  • Skill and ability with operating office equipment which may include telephone computer calculator copier and media equipment.

Education:

  • High school diploma or its equivalent.
  • College degree and/or additional training beyond high school preferred.

Experience:

  • Word process with accuracy at 60 w.p.m.
  • Five (5) years of applicable office or clerical experience including office management (preferably in a public school setting.) Vocational or technical clerical training may substitute for work experience.
  • Previous school district experience at the secondary level preferred.
