Description

The Administrative Assistant for Philanthropy and Engagement provides general administrative support to all areas of the Department especially to the Vice President for Philanthropy and Engagement the Associate Vice President for Philanthropy and the Executive Director of Planned addition the Administrative Assistantworks closely with the Director of Philanthropy and Engagement Services on the prompt processing and acknowledgement of all gifts pledges and grants received by Emory & Henry.

Duties &Responsibilities:

Administrative Support:

  • Oversees the day-to-day business of the Office of Philanthropy and Engagement including
  • receiving visitors answering the phone and retrieving the mail from the Post Office.
  • Assists in making travel arrangements and processing credit card expenses and cash reimbursements for the Vice President the Associate Vice President and the Executive Director.
  • Prints and mails correspondence for the Vice President and Associate Vice President.
  • Schedules meetings for the Vice President and Associate Vice President.
  • Manages event registration for all events.
  • Assists with event and solicitation mailings.

Data Entry:

  • Updates alumni and donor information in the Raisers Edge database.
  • Records all gifts pledges and grants and posts these in the Raisers Edge database.
  • Supports the Director of Philanthropy and Engagement Services by pulling simple reports and lists from the Raisers Edge database.

Gift Processing:

  • Prepares and mails gift acknowledgement letters for the President and Vice President.
  • Prepares deposit files for the Business Office.
  • Reconciles giving records with the Business Office on a monthly basis and reconciles records of online giving twice each month.

General Office:

  • Manages and maintains donor and fund files.
  • Orders office supplies.
  • Assists with catering for smaller meetings with staff donors and volunteers.


Qualifications

Required Education:

  • High school diploma or equivalent required.

Required Experience:

  • At least two years of administrative experience in a professional office setting.

Competency:

  • Familiarity with current office practices procedures and equipment including technology.
  • Ability to effectively navigate and utilize proprietary programs such as Raisers Edge LexusNexus Google Workspace and Microsoft Office.
  • Ability to communicate clearly and effectively in both written and oral forms.
  • Ability to maintain confidentiality.
  • Ability to relate effectively to people from diverse age groups and backgrounds.
