Family Services Administrative Assistant
Position Description
Working from one of our Family Service Centers the Family Services Administrative Assistant supports the daily operations of the Family Services Department by answering phones and emails welcoming visitors assisting staff with administrative tasks maintaining records and providing overall office support.
Successful candidates will demonstrate CCAs values maintain a high level of professionalism and contribute to a positive service-focused experience for families students and staff.
The Family Services Administrative Assistant will be responsible for the successful completion of the following tasks:
- Provide excellent customer service to CCA families and staff
- Assist families with questions via phone chat and email
- Secure venues for Family Services events and field trips across the state
- Maintain accurate master events calendar for field trips career exploration events spring formals and other Family Services programs
- Schedule and manage RSVPs for Family Services programs and initiatives
- Assist field trip coordinators with field trip registrations and email reminders
- Maintain the field trip payment site including posting trips and running/distributing payment reports
- Maintain staff sign-ups for field trips and track participation requirements
- Coordinate staff travel for Family Services programs and initiatives
- Maintain databases of venues and contracts
- Develop administer and analyze surveys for staff and families
- Other duties as assigned by the Family Services Leadership Team

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as laptops phones IPADs and MIFI.
Physical Demands
This is largely a sedentary role. Requires the ability to lift squat sit bend or stand as necessary. Ability to travel to other sites/locations as needed.

Required Education and Experience
- High School Diploma
- 2 years of relevant work experience
Preferred Education and Experience
- 5 years of relevant work experience
- Associates or Bachelors Degree Preferred
- Previous experience with Title I programs
- Prior meeting planning
Additional Eligibility Qualifications
- Valid PA Drivers License
- Appropriate Automobile Insurance Coverage
- Must be able to commute to a Family ServiceCenter regardless ofcommute complexity.
- Candidates must reside within the Commonwealth of Pennsylvania.
