Job Description
The Administrative Aide 3 will provide advanced administrative secretarial and clerical support within a fast-paced professional environment. This role requires the ability to manage multiple tasks simultaneously while handling confidential information with professionalism and discretion. The Administrative Aide 3 will support office operations executive scheduling project coordination and administrative processes with minimal supervision.
Key Responsibilities
Perform complex and routine administrative duties under minimal supervision
Coordinate schedules for Executive Vice Presidents and other managers
Set up meetings manage calendars and organize appointments
Order office supplies and coordinate office setup for new hires
Handle confidential administrative tasks requiring knowledge of organizational policies and procedures
Support special projects and administrative initiatives as assigned
Provide work direction and support to lower-level administrative staff when needed
Maintain office filing systems records and documentation
Utilize office software online applications and office equipment effectively
Ensure efficient communication and coordination across teams and departments
Required Qualifications
High School diploma or equivalent required
2 4 years of office or administrative experience or equivalent relevant experience
Broad knowledge of department policies practices and procedures
Experience performing administrative clerical and secretarial functions
Ability to manage multiple priorities simultaneously
Strong interpersonal and communication skills
Proficiency in Microsoft Word Microsoft Excel and Microsoft Outlook
Typing speed of approximately 50 WPM
Ability to maintain confidentiality and exercise sound judgment
Strong organizational and office coordination skills preferred
